Microsoft 365 Partner in Kottayam
For publishers, colleges, hospitals and law practices — where the work is a long document, several people write it, and Malayalam has to stay Malayalam wherever the file goes.
We work here remotely from Angadippuram in Malappuram district. One office, no branch claimed in Kottayam.
In Kottayam the question is rarely email. It is documents — long ones, written by several people, revised for months, and very often in Malayalam. Microsoft 365 earns its place here in three specific ways: one copy of a document edited together instead of attachments passed around, a clean handover of final text without the internal comments, and Unicode Malayalam that stays Malayalam in a browser, on a phone and in search. The desktop apps matter more for this kind of work than for most, which changes the licensing arithmetic.
Six kinds of organisation we work with here
Kottayam’s old description of itself — letters, latex and lakes — is a fair summary of who calls us. The letters are most of it.
Newspapers and publishers
A large share of Malayalam publishing is headquartered in and around Kottayam town. Manuscripts, proofs and author correspondence go back and forth for months, and the question that decides the tools is simple: is there one copy of the text, or several?
Printing presses and DTP studios
Manuscripts arrive in whatever font the client happened to have, and a surprising amount still comes in the older ASCII-based Malayalam fonts. Every one of those files is a conversion job waiting to happen.
Colleges and schools
Most of the district's colleges are affiliated to Mahatma Gandhi University, which is based here. Accreditation work — NAAC above all — means one large submission written by every department at once, with evidence files from all of them.
Hospitals
Protocols, policies and report formats that are revised regularly and must exist in exactly one current version. A superseded protocol still circulating as an attachment is the kind of error that matters.
Advocates and chartered accountants
Agreements, pleadings and audit reports drafted under deadline, reviewed internally, then sent to people who should see the final text and none of the internal comments.
Rubber trade
The Rubber Board is headquartered here, and dealers and processors run on daily prices and purchase ledgers — usually in Excel, on one computer. The documents are short; the requirement is one workbook the whole office sees.
Five things Kottayam organisations ring about
None of them is really a software problem. Each is a habit — attachments, copied templates, old fonts — that the software either keeps alive or makes unnecessary.
Which one is the final version?
manuscript_final_v4 (2).docx, emailed between an author, two editors and a proofreader. Keeping the file in OneDrive or SharePoint and sending a link instead means one copy, edited together, with version history to go back to.
Our Malayalam turns into gibberish on other computers
The text was typed in an older ASCII-based Malayalam font, so it only looks like Malayalam where that exact font is installed. The fix for new work is Unicode. The fix for the archive is a conversion job. There is more on this below.
A draft went out with our internal comments in it
Tracked changes and comments travel with a Word file until someone removes them. Word's Document Inspector does it in one step, and a PDF is the right format for anything the other side should read rather than edit.
The accreditation report is in forty inboxes
Every department sends its section as an attachment and someone stitches them together the night before the deadline. One co-authored document in a SharePoint site, with a library per section and one for evidence, replaces the stitching.
Every department's letterhead is slightly different
Because each copied it from a different old file. One set of templates in a SharePoint library everyone opens from ends the drift — and documents built on proper Word styles reformat cleanly and generate their own tables of contents.
Legacy fonts against Unicode, once you leave the office PC
The older ASCII-based fonts draw Malayalam letters over ordinary Latin characters. On the machine that typed the text, nobody can tell. Microsoft 365 is where the difference surfaces, because it opens files on other people's machines, on phones and in search — all places the legacy font does not follow.

New work
Start it in Unicode. Windows ships Unicode Malayalam fonts — Kartika and Nirmala UI, checked 25 September 2026 — so nothing needs buying or installing. The change people notice is the keyboard layout, which is exactly what a short training session should cover.
The archive
Converting legacy-font files is a separate job, done with a converter and checked by someone who reads Malayalam. Prioritise what has to stay searchable. Migration itself moves these files exactly as they are, and they will look as broken in a browser as they did on any other machine.
What organisations here are usually moving off
The last row is not a system at all. It is a licence that stopped receiving security fixes, which is the most common reason the conversation starts.

Because it was typed in an older ASCII-based Malayalam font, such as the ML-TT and FML families long common in Kerala DTP. Those fonts draw Malayalam letters over ordinary Latin characters, so the file really contains Latin text dressed as Malayalam, and wherever the font is missing the disguise comes off. Unicode Malayalam is real text: Windows ships Unicode Malayalam fonts, Kartika and Nirmala UI (checked 25 September 2026). Microsoft's Kartika is a different thing from the legacy ML-TT Karthika, despite the name.

Yes, once the file lives in OneDrive or SharePoint rather than in an email. Several people can edit at once in Word on the desktop or in a browser, tracked changes and comments work while they do, and version history keeps earlier states you can restore. What cannot be co-authored is an attachment — the moment a file is emailed, there are two of them.

Run Word's Document Inspector (File, Info, Check for Issues, Inspect Document) before anything leaves: it finds and removes comments, tracked changes, hidden text and personal information. Accept or reject every change first, because a PDF saved while markup is showing still shows the markup. For anything the recipient should read rather than edit, send the PDF.

A SharePoint site for the submission, a library for each section with the responsible department given edit rights, a separate library for evidence files, and read-only access for everyone else. The report itself is one Word document that everyone co-authors, with comments for the internal reviewers. The coordinator's job becomes reviewing, not assembling.

The people who build long documents — styles, references, tracked changes across a whole manuscript — should have the desktop apps, which means Business Standard at ₹860 per user per month. Staff who read, comment and answer email can work in the browser on Business Basic at ₹170. Checked 21 September 2026, with Teams, annual commitment, GST extra. A publisher with eight editors and twelve other staff would pay ₹8,920 a month on that split, against ₹17,200 with everyone on Business Standard.

No. Word does not open InDesign or PageMaker files, and it is not a page-layout tool. For a publisher, Microsoft 365 covers the manuscript stage — writing, editing, review and correspondence with authors — and the finished text goes to layout exactly as it does now. If that text is Unicode Malayalam, it is real text wherever it goes next.

Increasingly, yes. Microsoft ended support for Office 2016 and Office 2019 on 14 October 2025, with no extension (checked 25 September 2026). The apps still open and work, but security problems found in them are no longer fixed — and the documents that arrive from outside are opened in exactly those apps. Business Standard includes the current desktop apps. Microsoft also still sells a one-time-purchase version of Office if a subscription is genuinely wrong for a particular machine.
