Most businesses that call us from Ernakulam are not choosing Microsoft. They already have it — a Windows domain on an office server, PCs joined to it, perhaps an Exchange server, and line-of-business systems quietly wired into all of them. Moving that into Microsoft 365 is less a migration than an integration: one identity across office and cloud, PCs brought under cloud management, and every scanner, ERP and app that sends mail rewired before the old server is switched off. These projects almost never fail on the mailboxes. They fail on the things nobody listed.
Five kinds of business we work with here
In Kerala’s commercial capital, most offices that call us already have IT in place — which is exactly what makes the projects different. There is always something to work around.
Infopark and SmartCity firms
Most already run on Microsoft 365, often in a tenant set up in a hurry when the company was ten people. The work is tidying it: who holds admin rights, which guests can still open client files, and which licences belong to people who left.
Shipping agents, forwarders and customs brokers
Around Willingdon Island and the Vallarpadam terminal, work runs through shared mailboxes — ops, docs, accounts — at volume and around the clock. It is also the trade that fraudsters target with “our bank details have changed” emails.
Multi-branch retail
Head office in Kochi, branches across Kerala, and billing PCs at the counter that several staff share. The question is who needs an account at all, and how branch staff sign in without one password being passed around.
Manufacturers around Kalamassery, Edayar and Aluva
Industrial units with a server room, a domain, and an ERP that emails purchase orders from a machine nobody wants to touch. The migration plan starts with that machine, not with the mailboxes.
Law firms near the High Court
The Kerala High Court sits in Kochi, and the practices around it hold files for many clients at once. The requirement is that each matter's folder is visible to the people on that matter, and to nobody else in the office.
Five things Ernakulam businesses ring about
The first two are what happens when an existing Microsoft setup is moved without a list. Both are cheap to prevent and tedious to fix afterwards.
Staff sign in as name@company.onmicrosoft.com
The office domain was created years ago as company.local, which is not a routable domain, so synchronised accounts fall back to the tenant's default address. Adding the real domain as a sign-in suffix before synchronisation fixes it cleanly. After is messier.
The scanner stopped emailing after the move
Scanners, the ERP and the alarm panel were all sending through the old mail server. Each needs a new route: modern sign-in where the device supports it, a relay connector where it does not. Many older devices can only sign in with a plain username and password, which Microsoft disables by default at the end of December 2026.
Two passwords for everything
One for the office PC and another for Microsoft 365, because nobody set up synchronisation. Microsoft Entra Connect syncs accounts from the office domain, and with password hash sync people use the same password for both.
An email said the shipping line's bank details had changed
The standard payment-diversion fraud, aimed at trades that pay large invoices by bank transfer. Business Premium's impersonation protection catches some of it. A rule that every change of bank details is confirmed by phone, on a number you already had, catches the rest.
Nobody is sure who has admin rights
The tenant was set up by a vendor or a founder who has since moved on. We start with an inventory — who holds admin roles, which guest accounts can still reach client files, and which licences are assigned to people who left — before changing anything.
What moves, what syncs, and what stays
The last row matters as much as the first. Microsoft 365 replaces mail, files and identity management. It does not replace the ERP, and a plan that pretends otherwise ends badly.

The third row is the one that is not really a move. Active Directory stays, and gets connected — which is why it comes first.

No. Tech Geum has one premises, in Angadippuram in Malappuram district, and we do not claim offices elsewhere. Most Ernakulam work is done remotely. Where a project involves the server room itself — a domain controller, an Exchange server being retired — we arrange time on site for the steps that genuinely need hands on the hardware.

No. Microsoft Entra Connect synchronises it to Microsoft 365, the office domain stays the source of truth, and people sign in with the same account and password in both places. Moving to cloud-only identity is possible later, once nothing on the premises still depends on the domain — which is a decision for then, not a precondition for now.

They carry on as they are, and can be hybrid joined so Microsoft 365 recognises them as company devices. New PCs are better joined directly to Microsoft Entra ID and managed in Intune, which comes with Business Premium. Over time the Group Policy settings move into Intune policies and the dependence on the office domain shrinks, at whatever pace the business is comfortable with.

Yes, but each one needs to be moved deliberately. Devices that sign in to send mail with a plain username and password are on borrowed time: per Microsoft's updated schedule (checked 25 September 2026), that sign-in method is disabled by default for existing tenants at the end of December 2026, administrators can switch it back on for a while, and Microsoft will announce a final removal date in the second half of 2027. Devices that support modern sign-in should use it; the rest should send through a relay connector.

Cutover moves everyone in one go and suits offices where a weekend switch is realistic. Larger or busier organisations move in batches through a hybrid: the full version keeps shared calendars and one address book across both sides while they coexist, and a minimal one skips that for a quicker move. Either way, identity synchronisation is set up first.

Usually Business Premium, at ₹1,830 per user per month, for everyone with a company PC: it adds Intune device management and the conditional access that replaces what the office domain used to enforce. Counter and branch staff who only need email can be on Business Basic at ₹170. Checked 21 September 2026, with Teams, annual commitment, GST extra. Twenty-five office staff on Premium and fifteen branch staff on Basic comes to ₹48,300 a month, against ₹73,200 with all forty on Premium. Business plans stop at 300 users; beyond that, the Enterprise plans apply.
helpCan branch staff share one account on the billing PC?

They should not. A shared login leaves no record of who did what, and its password never changes because everyone would need telling. Staff who need email need their own account; staff who only use the billing software may need no Microsoft 365 account at all. Working out which is which is usually where the licence count comes down.
helpIs it worth keeping our Exchange server?

Only if something genuinely requires it. An on-premises Exchange server is a server you must keep patched against attacks aimed specifically at Exchange, and for most small and mid-sized firms that effort buys nothing Exchange Online does not already provide. Retire it once mailboxes have moved and nothing relays through it any longer.
