Zoho's own support is good at what it exists for: platform faults, outages and account questions. The trouble is that almost nothing that goes wrong after go-live is a platform fault. It is a workflow rule somebody edited, a function that broke when a field was renamed, an integration authorised under an account that no longer exists, or an import that created four hundred duplicates — and those sit in the gap between Zoho working correctly and your business working correctly.

Eight things that actually go wrong after go-live
Not a feature list. This is what the requests genuinely look like, and what is usually behind each one — including the several that are not Zoho's fault at all.
A workflow rule quietly stopped firing
Almost never a Zoho fault. Usually the rule's criteria were edited, or records are now arriving through an import or an API integration — and a mass update does not trigger workflow rules the way a manual edit does. The symptom is that nobody got their alert; the cause is three steps upstream.
A blueprint is stuck and the deal will not move
A transition is assigned to someone who has left, or a field was made mandatory after the blueprint was designed, so the record cannot satisfy its own exit criteria. The team's workaround is usually to stop using the blueprint, which is worse than the original problem.
A custom function started throwing errors
Deluge references API names, not the labels you see on screen. Rename a field, change a picklist value, or restructure a module and a function written eighteen months ago fails on a line nobody remembers writing. Reading the error is quick if you know the syntax and a long afternoon otherwise.
Mail sent from CRM is landing in spam
Rarely a Zoho problem at all. Usually the sending domain is not properly authenticated, a DMARC policy tightened at the recipient's end, or a bulk send went out on a shared reputation. Diagnosing it means reading message headers and the domain's DNS records — which sits outside what a platform support queue will look at.
An import created duplicates instead of updating records
The mapping had no unique key, so every row was treated as new. The fix is not the import — it is de-duplicating what is now in the system without destroying the history attached to the right record, then setting up the field that stops it happening again.
Someone can see records they should not — or cannot see their own
Zoho's visibility comes from several layers at once: profile permissions, role hierarchy, data sharing rules and, where used, territories. A change in one layer produces a symptom that looks like it came from another. Guessing at it tends to make the access wider than anyone intended.
An e-invoice or e-way bill was rejected
The portal rejects on validation — a wrong HSN code, a place-of-supply mismatch, a customer GSTIN that has since been cancelled. Zoho Books reports the rejection faithfully; working out which field caused it, and correcting the master data so the next hundred invoices pass, is the actual job.
An integration stopped syncing and nobody noticed
An OAuth connection was authorised under an employee's account and that account was deactivated when they left. Or the API credit limit was reached, or a token was revoked during a password reset. Data stops flowing silently, and the gap is usually discovered at month-end.
A pattern worth noticing: most of these were introduced by a change, not by a defect. Which is why the answer to a recurring problem is more often a review of how the system is being changed than a faster response time.
Zoho's support and a partner's are not the same product
This is not a criticism of Zoho's support, which does what it exists to do. It is a description of where the boundary sits — and most real problems land on the far side of it.

Both remain available to you. Working with a partner does not remove your access to Zoho's support — it means somebody else raises the case, with the diagnosis and the evidence already assembled.
Support, administration and enhancement are not one line item
They get quoted as one and they should not be. Support is reactive — you call because something is wrong. Administration is the standing work that stops most of those calls happening. Enhancement is what the business needs next. Most organisations want some of all three; the mix depends entirely on whether anyone internal owns the system.

Invoicing down at month-end is urgent. One user's dashboard rendering oddly is not. We would rather agree what counts as critical for how you actually trade than apply a generic priority matrix that fits nobody.

Where a problem has a root worth removing — an integration authorised under a personal account, a permission model that keeps drifting, an import process with no unique key — we will say so rather than fixing the same thing every quarter.

Taking over a Zoho account somebody else built
A large share of the support we are asked for begins here: an implementation partner who has gone quiet, an internal champion who has left, or a setup that was configured in-house and has since drifted. None of that is unusual, and none of it disqualifies you.
We audit before we agree to support it
Taking on an account somebody else configured starts with reading what is actually there: modules and custom fields, workflow rules, blueprints, functions, roles and sharing rules, integrations and who owns their credentials. It is not a formality — it is what stops us diagnosing your setup and your problem at the same time when something breaks at eleven at night.
You get the findings whether or not you continue
The audit usually turns up things worth knowing: automation that has been silently failing, users with far more access than their role needs, an integration tied to an account that no longer exists. That document is yours regardless of what you decide about ongoing support.
We fix what is broken before we agree a response time
Committing to a support SLA over a configuration nobody has repaired is a promise we would be breaking within a month. Where an audit finds work that has to happen first, we scope it separately and say so plainly rather than absorbing it into a monthly retainer.
Where the audit shows the configuration is sound and you simply lost the people around it, we will say that too — and quote support rather than a rebuild you do not need. You can see how that plays out in our client case studies.
Three things that make support work
None of these are onerous, and the absence of any one of them is the usual reason a support arrangement disappoints on both sides.
Access that matches what you are asking for
An administrator profile in the org, or at minimum a user with rights over the modules in scope. You keep the super-admin account throughout. Some clients grant standing access, some grant it only when there is something to do, and some keep everything in-house and use us for advice — all three work, the first is simply faster when something is wrong.
One person on your side who can decide
Not for everything — for the questions only you can answer. Whether a record should be deleted, whether that user should keep that access, whether a process changes. Support stalls waiting on decisions far more often than it stalls on technical difficulty.
Somewhere the configuration is written down
Where we did the implementation, this exists already. Where we did not, the first engagement usually creates it. An org whose behaviour is only documented in the memory of whoever built it is one resignation away from being unsupportable by anyone.

That is a large share of what support actually is. Mail from CRM landing in spam is usually a domain authentication or reputation issue. A payment that did not reconcile is often the gateway's settlement file rather than Zoho Books. A WhatsApp automation that stopped may be the provider's template approval. None of these are Zoho faults and all of them stop your business working, which is the only definition of a problem that matters.

No. An annual arrangement makes sense where Zoho is load-bearing — invoicing runs through it, the sales team lives in it, several integrations depend on it. Where usage is lighter, ad-hoc support against an agreed rate is more honest than a retainer you use twice a year. We would rather tell you which one fits than sell you the larger one.

Only what you want us to keep. The super-admin account is yours throughout and always has been. Standing access is faster when something is wrong, because the first twenty minutes of an incident are not spent arranging permissions. Granting access only when there is something to do is entirely workable, and we will say so rather than pretending otherwise.

Usually, yes. The practical obstacle is rarely technical — it is access. If the org's super-admin is an address nobody controls, or an integration was authorised under a personal account that has been deactivated, recovering ownership is the first piece of work and occasionally involves Zoho directly. Once ownership is back with you, the audit tells us what we have inherited and what needs repairing before a response commitment means anything.

Answering how something works is support and we do not meter it. Structured role-based training for a new intake, or retraining a department after a process change, is scoped work — it needs preparation, materials and someone's undivided day. The distinction is not about being strict; it is that folding real training into an incident SLA means it gets done badly, between tickets.
