Google Workspace to Microsoft 365 Migration
Gmail, Calendar and Contacts move across routinely. Mapping Shared Drives onto SharePoint is the decision that actually determines whether people think the migration went well.
Moving the other way instead? Microsoft 365 to Google Workspace covers that. We resell both, so neither direction is the one we are pushing.
Mail is the easy half. Gmail, Contacts and Calendar migrate directly into Exchange Online. Drive files move too — but Google Shared Drives and SharePoint sites are different models, so the target structure is designed rather than copied. Apps Script automations, AppSheet apps, Google Sites and Chat history have no migration path and are rebuilt or retired. Every Google sharing link breaks. All of that is manageable when planned, and only painful when discovered afterwards.
How Google maps onto Microsoft
Eleven rows. Four of them are not migrations at all, and those four are where unplanned projects go wrong.
| From Google | To Microsoft | Status | What that means |
|---|---|---|---|
| Gmail | Exchange Online / Outlook | Direct | Messages, folders and read state carry across. Labels become folders, and mail carrying several labels has to land somewhere — that choice is made deliberately per organisation. |
| Google Contacts | Outlook Contacts | Direct | Exported and imported. Straightforward. |
| Google Calendar | Outlook Calendar | Direct | Including recurring series and room resources. Recurring meetings are worth spot-checking afterwards. |
| My Drive | OneDrive for Business | Direct | Personal files move to personal storage. Sharing links break and are reissued. |
| Shared Drives | SharePoint sites | Needs design | The one that is not a copy job. Shared Drives and SharePoint sites do not map one to one, and getting this wrong is what makes people say the migration went badly. |
| Google Docs, Sheets, Slides | Word, Excel, PowerPoint | Converted | Converted to Office formats. Most documents survive intact; heavily scripted Sheets and complex formatting need checking. |
| Apps Script | Power Automate / Office Scripts | Rebuilt | No conversion path exists. Anything running on Apps Script is rebuilt, and needs to be inventoried before you commit to a date. |
| Google Groups | Distribution lists / Microsoft 365 Groups | Recreated | Membership verified with you rather than assumed. |
| Google Chat / Spaces | Microsoft Teams | No migration | History does not transfer. Plan a clean break and tell people in advance. |
| Google Sites | SharePoint pages | Rebuilt | Content moves by hand. Usually a good moment to ask whether the site is still used at all. |
| AppSheet apps | Power Apps | Rebuilt | Rebuilt on the Microsoft platform. Scope this early — it is often the longest single item. |
Six file decisions, made before anything is copied
A bulk copy of Drive into SharePoint is technically easy and produces something nobody can navigate. Spending a week on structure is cheaper than moving the files twice.
One site or many
A single SharePoint site with folders is simple and becomes unmanageable. A site per department or function is more work upfront and is what still makes sense in three years. Most organisations need somewhere between four and twelve.
What is genuinely personal
Google's My Drive blurs personal and organisational files. Anything the business depends on belongs in SharePoint, not in someone's OneDrive — because OneDrive access leaves with the person.
Sharing links will break
Every Google sharing link embedded in a document, an email or a third-party system stops working. There is no way around this. What we can do is inventory the important ones and reissue them deliberately.
Permissions are modelled differently
Google's per-file sharing and SharePoint's inherited site permissions are different models. A literal translation produces a permissions mess; this is mapped rather than copied.
Version history does not travel
Files arrive as current versions. Where retaining history genuinely matters for compliance, the source has to stay available for a defined period — which is a decision, not an oversight.
The files nobody owns
Every Google tenant has Shared Drives created for a project that finished in 2022. Migration is the moment to archive them rather than carry them across and pay to store them again.
Should you actually be moving?
We resell both platforms, so we lose nothing by telling you to stay. Migrating twice is expensive and demoralising, and the time to have this argument is now.
Good reasons to move
- check_circleYour finance or operations work has outgrown Sheets and genuinely needs desktop Excel
- check_circleA line-of-business application expects Outlook or Exchange and nothing else
- check_circleDevices are moving to Windows and domain-joined management, or identity is consolidating in Entra ID
- check_circleYou need device management and compliance controls that the Google tier you are on does not provide
- check_circleA parent company, client or regulator has standardised on Microsoft
Reconsider if
- helpReal-time simultaneous editing is central to how your teams work — Google is still ahead there
- helpYou have no internal IT capacity and value a single, simple admin console
- helpThe driver is cost alone; run the numbers on both before committing, because it is not a foregone conclusion
Our comparison of the two suites goes through this properly, including where Microsoft is genuinely behind.
Google to Microsoft 365 — common questions
helpCan we migrate from Google Workspace to Microsoft 365 without losing data?
expand_more
Mail, contacts, calendars and files all migrate. What does not transfer is Google Chat history, Apps Script automations, AppSheet apps, Google Sites content and file version history — those are rebuilt or archived rather than moved. Everything in that list is manageable when it is planned for; it is only a problem when it is discovered afterwards.
helpHow do Google Shared Drives map onto SharePoint?
expand_more
Not one to one, and this is the part that decides whether the migration is judged a success. A Shared Drive is a flat container with member permissions; a SharePoint site has inherited permissions, libraries and its own structure. We design the target structure with you before copying anything, because moving files twice is far more disruptive than spending a week on the design.
helpWill our Google Docs and Sheets still work?
expand_more
They are converted to Word, Excel and PowerPoint formats. The overwhelming majority convert cleanly. The exceptions are Sheets carrying heavy scripting or unusual formulas, and documents with complex layout — those are identified during discovery and checked individually rather than assumed to be fine.
helpWhat happens to our Apps Script automations?
expand_more
There is no conversion path. Anything running on Apps Script has to be rebuilt, typically in Power Automate or Office Scripts. This is frequently the longest single item in a Google-to-Microsoft move and it is routinely missed at quoting stage, so we inventory it during discovery before any date is agreed.
helpWill all our shared links stop working?
expand_more
Yes. Google sharing links embedded in emails, documents, websites and third-party systems will break, and no migration tool can prevent that. What is manageable is scope: we identify the links that matter — customer-facing documents, links inside other systems — and reissue those deliberately rather than discovering them one complaint at a time.
helpShould we be moving at all?
expand_more
Sometimes not. We resell both Google Workspace and Microsoft 365, so we have no stake in the direction you go. If the driver is cost alone, run the numbers properly first. If it is that finance genuinely needs desktop Excel, or that a critical application expects Outlook, those are good reasons. Our comparison of the two sets out where each honestly wins.
helpHow long does a Google to Microsoft 365 migration take?
expand_more
Longer than a webmail migration, because of the file design work and anything built on Apps Script or AppSheet. For a business of 10 to 50 users with a straightforward Drive structure, typically three to six weeks including design. Where there are custom apps or a large, disorganised Drive, scope it properly rather than working to a guess.
helpCan we run Google Workspace and Microsoft 365 side by side while we move?
expand_more
For a limited period, yes, and on larger moves it is often sensible — mail cuts over in one step while files migrate over a longer window. Running both indefinitely is not a strategy, though, because people quietly keep working in whichever one they prefer and you end up with two live copies of everything.
