Two things decide whether Microsoft 365 is worth it here, and collaboration features are neither of them. The first is a guest inbox that several people answer — reservations@ at a resort, enquiries@ at a houseboat company — which fails in both directions: a guest gets two replies, or none. The second is that Alappuzha floods, and what a business loses when the water comes in depends almost entirely on whether its mail and files lived in the building or somewhere else.
Six kinds of business we work with here
Four of them are some form of hospitality, which is why the guest inbox comes up in almost every conversation. The last one is defined by geography rather than by trade.
Houseboat operators
Enquiries arrive from booking sites, from agents and directly from guests abroad, and the business is won by whoever answers first and clearly. The crew who run the boat rarely need an account; the two or three people who answer enquiries need the same inbox.
Resorts, homestays and lake-front hotels
A reservations address worked in shifts by front-desk staff, booking-site notifications, supplier invoices, and guest documents that arrive by email and then never leave the inbox. The inbox is the operation.
Ayurveda and wellness centres
Consultation notes and treatment plans are health information about guests. They deserve narrower access than the booking inbox, which in most centres is currently where they sit.
Coir manufacturing and export
Design catalogues, product photographs and sample approvals sent to buyers in Europe and beyond. The recurring problem is not correspondence but file size — the catalogue that bounces because it is larger than the buyer's server accepts.
Tour operators and travel agents
Itineraries, supplier confirmations and guest changes that pile up in the peak months. Several people working the same bookings need to see the same thread, not forward copies to each other.
Businesses in Kuttanad and the low-lying taluks
Offices at or below the waterline, in a district that floods. For these businesses the case for Microsoft 365 is not collaboration. It is that the mail and the files are not in the building.
Five things Alappuzha businesses ring about
The first is the most common and the cheapest to fix. It looks like a staff problem — somebody not checking before replying — and it is actually a default setting that hides replies from the rest of the shift.
A guest got two replies — or none
By default, a reply sent from a shared mailbox is saved in the sender's own Sent Items, not the shared mailbox's. The next person on shift opens reservations@, sees an unanswered enquiry, and answers it again — or assumes someone else did. One administrator setting files a copy in the shared mailbox as well, and we switch it on in every hospitality deployment.
Everything was on the reception computer
The bookings spreadsheet, guest correspondence, the scanned licences — on one machine, at ground level, in a district that floods. Mail in Exchange Online and files in OneDrive take the building out of the equation.
Our catalogue bounces when we send it
Coir catalogues and product photographs are often larger than a buyer's mail server will accept. Sharing a OneDrive link sends a link rather than the file, the buyer always opens the current version, and access can be withdrawn afterwards.
Passport copies are in everyone's inbox
Hotels and homestays collect passport details from foreign guests for the registration they must file with the immigration authorities. The scans accumulate in the booking inbox, readable by everyone who works it. They belong in a SharePoint library that only reservations and management can open.
Do the boat crew need accounts?
Usually not. Crew, housekeeping and kitchen staff rarely need Microsoft 365 at all; front desk, reservations and accounts do. Licensing only the people who use email, and giving shared addresses a shared mailbox rather than a paid seat, is most of the saving.
What survives when the office floods
The August 2018 floods put ground-floor offices across Kuttanad and Chengannur under water. What any office loses in a flood is decided long before it — by where its data lived beforehand. Microsoft 365 moves most of it out of the building. Not all of it.

Registers, licences and signed agreements. Scanning the ones you cannot replace is a job for a dry afternoon, not for the week of a flood warning.

The cloud protects you from losing the building. It does not protect you from deleting a folder and noticing months later.

What businesses here are usually moving off
The first row is the most common in hospitality, and its real risk is not the mail. It is that every booking-site account is registered to an address the business does not own.

We visit where it genuinely helps — usually to train front-desk staff on the shared inbox, since that is where most of the value is and most of the confusion starts.

Make it a shared mailbox, which several people open under their own logins and which Microsoft provides without a paid licence. Then change one default: as Microsoft documents it (checked 25 September 2026), replies sent from a shared mailbox are saved in the sender's own Sent Items rather than the shared mailbox's, so colleagues cannot see that a guest was answered. An administrator setting files a copy in the shared mailbox too. With that on, the whole shift sees the same conversation.

If your mail is in Exchange Online and your files are in OneDrive or SharePoint, not the mail and not the files — the machines were only ever displaying them. What you can still lose is anything saved only on a local disk, accounting data kept on the office PC, and paper that was never scanned. Those need handling before the monsoon, and we will tell you plainly which of them apply to you.

Not in the booking inbox, where everyone who works a shift can read them indefinitely. A SharePoint library restricted to reservations and management is the usual answer, with a clear decision about how long copies are kept. That decision belongs to you and your advisers rather than to us — what we make sure of is that the documents are somewhere deliberate, not somewhere convenient.

Generally not. Microsoft 365 is licensed per person who uses it, and crew, housekeeping and kitchen staff usually have no need for a mailbox. Shared addresses like reservations@ or enquiries@ should be shared mailboxes, which need no licence at all. The licence count is normally the office and front desk, which is a much smaller number than the headcount.

Take a resort where six people answer guests in a browser and two — the owner and the accountant — need desktop Word and Excel. Checked 21 September 2026, that is six Business Basic seats at ₹170 and two Business Standard seats at ₹860, or ₹2,740 a month on an annual commitment, with GST extra. Putting all eight on Business Standard would cost ₹6,880. The shared reservations@ mailbox adds nothing.

Often not the full suite. If one person handles every guest and nobody needs desktop Office, a single Business Basic mailbox is enough — or Zoho Mail Lite, which Zoho lists at ₹59 per user per month on an annual plan (checked 22 September 2026, GST extra) and which we also set up. What matters more than the choice is moving guest mail off a personal address the business does not own.

Alongside them rather than instead of them. The booking sites handle reservations; Microsoft 365 handles the email around them — the notifications, the guest's questions before arrival, agent and supplier correspondence. The practical change is pointing every booking-site account at a shared mailbox the business owns, so notifications stop arriving on one person's phone and stop leaving with that person.
