Hospitals, clinics and care homes
Administrative staff turnover is high and access tends to be granted informally — a password passed on, a folder shared with everyone. Tightening that without making daily work harder is most of the project.
Businesses with a heavy season
Transport operators, lodges, caterers and suppliers whose year is concentrated into a few months. Staff arrive for the season and leave after it, and the licensing question that follows is a real one rather than a detail.

Usually because a shared address was set up as an ordinary user account, which only one person can sign into at a time. A shared mailbox solves it properly, several people work in it under their own identities, and Microsoft charges nothing for it.
Minutes and correspondence going back years, on one machine
Committee minutes, property papers, correspondence with authorities. Getting these into SharePoint or OneDrive makes them searchable by whoever holds the post next, which is the point — not the backup, the findability.
Seasonal staff who need an account for three months
Microsoft licences can be assigned and reassigned, so a seat does not have to be bought and abandoned. Whether you buy those seats annually or monthly is a genuine trade-off, and we work it out before you commit rather than after.
Ask what happens when the post changes hands
It is a better test of a setup than any feature list, and for an institution whose office-bearers serve fixed terms it is the only test that matters. Four questions worth answering before you buy anything.
Who owns the address?
If the answer is a person rather than the organisation, the next handover is a negotiation. In a tenant you control, it is an administrative action.
Who can restore access?
There should be at least two administrators, and neither of them should be the person most likely to leave. One administrator is a single point of failure wearing a job title.
Where do the files live?
On one computer means they leave with the computer. In SharePoint or OneDrive they stay with the organisation and remain searchable by someone who did not file them.
What is written down?
A short record of your own setup — domain, who holds admin, where things are — written for a successor who was not in any of the meetings.

Not for the work itself. Tech Geum has one premises, in Angadippuram in Malappuram district, and we do not claim offices elsewhere. Microsoft 365 deployment is done remotely in any case — there is no equipment to install. We travel where being in the room genuinely helps, which in this district is usually a handover session when a new office-bearer takes a post.

By moving the institution onto a tenant it owns, where accounts belong to the organisation rather than to individuals. An administrator you appoint can then reset access, transfer a mailbox, or convert a post's address into a shared mailbox that each holder works in under their own login. Done once, the next handover stops being an emergency.

Yes, and more usefully, he often does not need to. Delegated access lets someone in the office send and reply on his behalf, and a shared mailbox lets several people work the same address without passing a password around. What remains genuinely his stays his. The working-week difference — Sunday to Thursday in most of the Gulf — is worth planning around rather than discovering.

Put them somewhere the organisation controls, and make them searchable. Files in SharePoint or OneDrive are found by their contents rather than by remembering which folder on whose computer they were saved to, which is what actually fails when the person who filed them has moved on. How long to retain anything is your decision and your auditors' — what we make sure of is that it is kept deliberately rather than by accident.

Licences can be reassigned, so a seat freed in February can be used again in November. The decision is annual against monthly commitment. Checked 21 September 2026, monthly commitment carries a consistent 20% uplift on Microsoft's India list — Business Standard without Teams is ₹665 per user per month on an annual commitment against ₹798 monthly, and the ratio holds across the range. Annual is cheaper if your count is stable; monthly earns its premium only if seats genuinely come and go.

Microsoft's prices are national rather than regional. Checked 21 September 2026, the with-Teams Business plans are ₹170 per user per month for Business Basic, ₹860 for Business Standard and ₹1,830 for Business Premium, on an annual commitment with GST extra. Most institutions do not need the same plan for everyone — office staff who work in a browser and a few people who need desktop Word and Excel is a mixed allocation, and it costs less than levelling everyone up.

Microsoft publishes education plans, and eligibility is decided by Microsoft rather than by us — an institution has to be verified before those prices apply. We have not published India education figures because Microsoft does not publish them openly, and quoting a number we cannot source would be guessing. If you are an eligible institution we will find out what applies to you and tell you, including if the answer is that a commercial plan is the better buy.

That has to be settled before the project rather than assumed. In practice it is either someone on your staff who takes it on with a written reference for your specific setup, or us on a support arrangement. What does not work is leaving it with whoever happens to be technical this year, because that is the arrangement that produced the lockout you are calling about.
