It can keep it current, which is the harder part. A SharePoint library organised by the audit's requirements, with an expiry-date column and a reminder before anything lapses, holds wage and hours records, training logs, certificates and test reports in one place. What it cannot do is produce records nobody kept; the library shows the gaps early instead of on audit day.

Already included. Microsoft lists Planner and Forms among the apps in Business Basic (checked 25 September 2026), so every paid seat from the cheapest upward has them. Most exporters we meet are paying for both without using either.

Yes. Share the relevant folder with the buyer's auditor as view-only, or invite them as a guest for the audit, and remove access when it closes. They see current documents, nothing leaves your control as an attachment, and the next audit does not start with a request for everything again.

The tools are the same; the difference is who holds what. In a society the people change more often, so accounts should belong to roles rather than people, administration should never rest with one person, and records should live in libraries rather than anyone's own OneDrive. Set up that way, the next committee inherits a working system instead of a password.
