Small teams, spread out, and rarely at a desk. What they have in common is that the phone in someone’s pocket holds more of the business than any computer does.
Coffee planters and curing works
Wayanad grows most of Kerala's coffee. The planter is in the field, not at a desk, and the paperwork — pickers' wages, curing receipts, buyer contracts — travels in a shirt pocket and a phone gallery.
Homestays and resorts
Family-run places around Vythiri, Meppadi and Sulthan Bathery, where guest enquiries, supplier bills and staff messages all land on the owner's own phone. When the owner is away, so is the business.
Traders dealing across the border
Karnataka is next door, and much of the district's trade crosses into it. Orders and payment confirmations move between Kalpetta, Mysuru and Bengaluru, mostly by phone and mostly on personal accounts.
Growers' cooperatives and producer companies
Collection figures entered on phones at collection points, member records kept by whoever is secretary this year, and payments that have to be traceable long after the season ends.
Shops and services in the towns
Kalpetta, Sulthan Bathery and Mananthavady. Small teams, rarely a dedicated office computer, and an owner who does the books on a phone in the evening.
Four things Wayanad businesses ring about
Every one of them is about a phone — broken, borrowed, taken away or full of photographed paper. None of them is really about the phone.
My phone is the business, and it just broke
If mail, contacts and files were on the phone itself, they went with it. If they were in Microsoft 365, a new phone and one sign-in bring everything back — the difference is decided long before the phone breaks.
Staff use their own phones for work
Business Premium's app protection puts a PIN on Outlook and OneDrive and stops work data being copied into WhatsApp or saved to personal storage — without managing, or even seeing, anything else on the phone.
A supervisor left with the estate's data on their phone
With app protection in place, the work data in Outlook and OneDrive is wiped from their phone the day they leave, and their own photos and chats are untouched. Without it, the data leaves with them.
Receipts and challans pile up in a bag
The OneDrive app scans paper to PDF, several pages at a time, straight into whichever folder is open. A folder per month, and the bag becomes something you can search by date.
A business run from phones, set up properly
The owner’s phone and a staff member’s own phone need different things: one has to be replaceable, the other has to keep work and personal apart. The staff column needs Business Premium, checked 25 September 2026.

None of these rows asks anyone to give up their phone. Each one moves what matters off the phone and into the business, so the phone can be lost without the business going with it.

Most setup for a phone-run business is done remotely anyway; a visit is a planned trip rather than a quick drive, and is best spent setting up everyone's phones in one sitting.

Mostly. Outlook, OneDrive and Teams work fully on a phone, and the Word and Excel apps handle reading and light editing. Business Basic includes the mobile apps. What a phone does badly is anything large — a season's accounts in one spreadsheet, a long contract — which is why most businesses here still keep one computer somewhere.

Yes, with Business Premium. Intune app protection works on phones that are not enrolled or managed: it can require a PIN for Outlook and OneDrive, stop work data being copied into personal apps, and wipe only the company's data when someone leaves. It applies only when the apps are used for work, and it does not touch personal photos, chats or other apps (checked 25 September 2026).

Nothing is lost, provided mail, contacts and files were in Microsoft 365 rather than on the phone. An administrator signs the account out of every device and the password is changed, which locks the old phone out; the new phone signs in and everything returns. The one thing to arrange beforehand is a second administrator, so the owner is not the only person who can do that.

The OneDrive app turns paper into a PDF — several pages into one file — and saves it into whichever folder is open (checked 25 September 2026), so a folder per month keeps it in order without anyone filing afterwards. Keep the originals the law or your auditor needs; the scans are for finding things.

Most people on Business Basic, at ₹170 per user per month: it includes the mobile apps and a business mailbox. A homestay run by the owner and two staff pays ₹510 a month, with a shared bookings@ address at no cost. Protecting data on staff's own phones needs Business Premium, at ₹1,830 — ₹1,660 more per person — so it is worth deciding person by person whose phone actually holds data worth protecting. One, probably. Day-to-day work runs well on phones, but administration — adding people, changing security settings, reviewing who has access — is far easier on a computer, as is anything spreadsheet-heavy. It does not need to be new or powerful; it needs to be somewhere the business, not one person, controls.

Yes. Make bookings@ a shared mailbox and add it to the Outlook app on each phone that should see it; it needs no licence of its own. Replies go out from bookings@ rather than from anyone's personal address, so guests always write back to the business and not to whoever happened to answer first.
