Microsoft Teams for Business
Teams that map to how the organisation actually works, and controls that stop it becoming unsearchable within a year.
Two things decide whether Teams helps or hinders: who is allowed to create one, and whether people understand when to use a channel rather than a private chat. Neither is a technical problem.
Two facts before anything else. Teams is only included on the with-Teams line of the Business plans — the without-Teams line is a separate, cheaper product with the same plan names. And Teams does not replace your phone system unless you add Teams Phone Standard, which Microsoft lists at ₹830 per user per month on top. After that, the decisions that matter are who may create a Team, and whether work happens in channels or vanishes into private chat.

Chat and channels
Persistent conversation organised by topic rather than by who happened to be on the email thread. The value appears when somebody joins six months in and can read back.
Meetings and webinars
Video meetings with recording, screen sharing and external guests who do not need a licence. Adequate for almost every meeting a business actually holds.
Files, which are SharePoint
A Team's Files tab is a SharePoint document library. Same storage, same permissions, a friendlier surface — and the reason Teams governance and SharePoint governance are one problem.
Apps and integrations
Line-of-business systems surfaced inside Teams so people stop switching windows. Genuinely useful for a handful of things and clutter for everything else.
Teams Phone, separately
Teams can replace a PBX with external numbers, transfers and a switchboard — but that is Teams Phone Standard, an add-on Microsoft lists at ₹830 per user per month. It is in no Business plan.
Guest access
Clients and contractors in specific channels without giving them the run of your tenant. Powerful, and worth configuring deliberately rather than discovering later.

Six governance decisions
Teams is unusual in that the default configuration actively encourages the failure mode. Left alone, it grows until nobody can find anything — and every Team drags a SharePoint site along with it.
Teams map to stable groups, channels to work
A Team should be something that will still exist in two years — a department, a function, a long-running client. Channels inside it carry the actual projects. Creating a Team per project produces dozens of dead Teams within a year.
Control who can create a Team
By default, users can. Every Team also creates a SharePoint site and a group, so unrestricted creation quietly produces a tenant nobody can inventory. Restricting creation to a small group is the single highest-value governance setting.
Decide guest access before you need it
Whether external people can be added, by whom, and to what. Deciding in the moment, under pressure to get a client into a channel, is how tenants end up with guests nobody can account for.
Name things predictably
A naming convention agreed upfront is the difference between a searchable tenant and forty Teams called variations of Marketing.
Have an expiry plan
Teams for finished projects should be archived rather than left. Archived Teams keep their content readable and stop cluttering everybody's list.
Be explicit about chat versus channel
Private chat is invisible to everyone else and disappears from organisational memory. Work that matters belongs in a channel. This is a culture point more than a settings one, and it needs saying out loud.
Six signs your Teams has sprawled
None of these mean anybody did anything wrong. They are what happens when a tool with no constraints meets an organisation with real work to do.

All of it is fixable without a freeze — inventory, archive the dead, consolidate duplicates, agree a structure, then restrict creation so it does not recur. Ongoing administration is what keeps it from drifting back.

It depends which line you bought. Since the 1 July 2026 repackaging, Microsoft sells the Business plans in a with-Teams line and a without-Teams line at different prices. If you are on the without-Teams line, Teams is not included. This catches people out because the plan names are otherwise identical. Checked 21 September 2026.

Replacing an actual phone system — external numbers, transfers, a switchboard — requires Teams Phone Standard, which Microsoft lists as an add-on at ₹830 per user per month. Generally no. Every Team also creates a Microsoft 365 group and a SharePoint site, so unrestricted creation produces a tenant nobody can inventory or govern. Restricting creation to a small group, with a simple request route, is the highest-value governance control available and costs nothing.

Yes, through guest access, and they can be scoped to specific Teams rather than given the run of your tenant. Guests do not consume one of your licences. The part worth planning is removal — guests left in channels long after a project finished is one of the most common findings in a tenant review.

In SharePoint. A Team's Files tab is a document library in the SharePoint site created alongside that Team. This is why Teams governance and SharePoint governance are really the same problem, and why letting Teams proliferate freely also means letting SharePoint sites proliferate freely.

Yes, and it is common work. The usual approach is to inventory what exists and what is actually used, archive the dead ones, consolidate the duplicates, agree a structure and a naming convention, then restrict creation so it does not simply happen again. Done alongside normal work rather than as a freeze.

Teams is substantially more capable and substantially more complex, and it is bundled with a suite you may already be paying for. If your organisation is on Microsoft 365 already, Teams is almost always the right answer on cost alone. If you find its complexity genuinely obstructive, that is a legitimate reason to look elsewhere and we will not argue with it.
