Seafood and marine exports

Coir and allied manufacturing
Smaller units with a handful of office staff, no IT person, and a domain bought years ago from a local hosting reseller. The practical requirement is email that simply works and does not need attention.
Trading and distribution
Businesses buying and selling across districts and states, where the recurring problem is that the current price list exists in several versions and nobody is certain which one a customer was quoted.
Family-run firms
Common across all of the above, and it shapes the deployment more than the industry does. The owner is usually on email personally, approvals are verbal, and any system that assumes a formal IT process will be quietly ignored.

cPanel webmail bought years ago from a reseller who has moved on. Migrating out is routine for us and alarming for the business, and we can usually do it without their cooperation.

Almost certainly SPF, DKIM and DMARC — the three DNS records that tell receiving servers your mail is genuinely from you. Without them, or with them broken after a change of provider, overseas mail systems have no reason to trust you and quietly file you as junk. This is the single most consequential problem we fix for exporters, precisely because nobody tells you it is happening.

Yes, and for an export business it is usually the most valuable part of the project. PST files import into Exchange Online, at which point a decade of correspondence becomes searchable from any device and is no longer one hard-drive failure from gone. Gathering the files is the slow part — they are never where anyone remembers leaving them.

As a shared mailbox, which several people work from and which Microsoft provides without an assigned licence. The common mistake is creating it as an ordinary user account — that costs a paid seat every month indefinitely and means only one person can realistically use it. Converting an existing one is straightforward.

That depends on your obligations and your buyers' expectations rather than on anything we can decide for you — and in practice exporters keep it far longer than any rule requires, because a query about an old shipment has to be answerable. What we do is make sure it is retained deliberately and remains searchable, rather than surviving by accident on somebody's laptop.

Microsoft's prices are national, not regional. Checked 21 September 2026, the with-Teams Business plans are ₹170 per user per month for Business Basic, ₹860 for Business Standard and ₹1,830 for Business Premium, annual commitment with GST extra. For a processing unit where most staff need email and a few need desktop Excel, a mixed plan allocation is usually considerably cheaper than putting everyone on one plan.

Then the deployment should change to suit that, not the other way round. Shorter sessions, smaller groups, training in Malayalam, and a written reference for your specific setup. Where people currently use webmail in a browser, we generally keep that habit rather than forcing a new desktop client on them in week one.

If your correspondence and documentation are the business — which for exporters they are — then mailbox reliability, retention and search matter more than collaboration features, and Microsoft 365 does those well. If cost is the binding constraint and nobody needs desktop Excel, Zoho Workplace is materially cheaper and we will set that up instead. We sell both.
