Microsoft 365 vs Zoho Workplace

Yes, clearly, and we see no reason to be coy about it. At the closest comparable tier, Zoho Workplace Standard is ₹99 per user per month against Microsoft 365 Business Basic at ₹170 — Zoho checked 22 September 2026, Microsoft checked 21 September 2026, both annual commitment and both excluding GST. Zoho also sells mail-only plans from ₹59. Microsoft's mail-only plan, Exchange Online (Plan 1), is ₹335 (checked 25 September 2026) — dearer than Business Basic, which is why it rarely makes sense.

Desktop Office, mainly. Zoho Sheet is a capable web spreadsheet and it is not Excel with macros, VBA, Power Query and large models. Add to that Entra ID on a Windows estate, Intune device management, and line-of-business applications that expect Outlook. If none of those apply to you, the price difference is real money and Zoho deserves serious consideration.

Not entirely, and it is worth saying so. Microsoft 365 Business Standard at ₹860 and Zoho Workplace Professional at ₹399 are not the same product — Microsoft includes the desktop Office applications and Zoho has no desktop equivalent to include. The honest framing is that Zoho is cheaper and offers less at that tier, and whether the difference matters depends entirely on whether your people need desktop apps.

You can, and it is rarely a good idea — two mail systems on one domain is a routing and support problem with no offsetting benefit. What is common and sensible is Microsoft 365 for email and documents alongside Zoho CRM or Books for business applications. For reliability and spam filtering, both are good and neither has a decisive edge — anyone claiming otherwise is selling something. The differences are elsewhere: Outlook's desktop client and server-side rules against Zoho's web interface and price, and Exchange's deeper integration with everything else Microsoft. For a business that reads mail in a browser, Zoho Mail is genuinely competitive.

Ask one question first: does anybody here depend on desktop Excel? If yes, Microsoft, and the price difference is the cost of not fighting your finance team. If no, and you work in a browser, Zoho Workplace will do the job for materially less and we will happily set it up. Size alone does not decide this — what the work consists of does.

Possible in both directions and disruptive either way, which is an argument for deciding properly now rather than choosing on price and revisiting in eighteen months. Mail migrates reasonably cleanly; documents, automations and integrations are the parts that cost time. We would rather have the harder conversation at quoting stage.
