The file is lost. Microsoft states that it cannot retrieve forgotten passwords for encrypted Office files, and no partner can either. That is the practical case against using file passwords as the main control: access through permissions can always be re-granted by an administrator, and a forgotten password cannot.

With a view-only link to the files, or guest access to a single folder, rather than as attachments. The auditor sees current figures, nothing leaves your control, and access is removed once the audit closes. Whatever you do share, share the minimum — one year's folder, not the whole library.

The accounts team should be on Business Premium, at ₹1,830 per user per month: it includes desktop Excel, sensitivity labels and data loss prevention. Six people in accounts on Premium and twenty showroom staff on Basic comes to ₹14,380 a month, against ₹47,580 with all twenty-six on Premium.

Sometimes not. A register kept by one or two people, a year at a time, works well in Excel once it has version history and proper access. A register edited by many people across showrooms, holding years of transactions, has outgrown it — and accounting or inventory software will serve better than any setting in Microsoft 365. Yes. With the workbook in OneDrive or SharePoint, the Excel app on a phone opens the current version, so nobody needs to email it each night. Owners who only need to look can be given view-only access, which keeps the figures they see from being changed by accident on a small screen.
