North Malabar, and what it makes
Kerala's handloom industry is concentrated in Kannur, and most of what it weaves — home furnishings, made to a buyer's specification — leaves the country. Alongside it sit timber and plywood units towards the hills, and the trading firms of Thalassery, Taliparamba and Payyanur.
Thalassery was a trading port long before any of this, and the grade of pepper that still carries its old name, Tellicherry, is sold on the strength of where it came from. Mattannur has had an international airport since 2018, which changed how the district travels and ships.
The structural fact worth designing around is a different one. An unusually large share of Kannur's output comes from member-owned organisations — weaving societies and cooperatives — whose office bearers are elected and change on a cycle. That is not the same problem as a founder who will not let go, and it does not have the same answer.

When the office changes hands
In a society or a registered body, the person holding a post changes by election, on a schedule everyone knows years in advance. Almost every setup we are asked to repair here was built as though that were not true — around the individual who happened to hold the post when the email was first set up.
A handover with a date on it, and a next one
Founders hand over once, unpredictably. An elected committee hands over on a cycle everybody knows in advance, and then does it again. That difference is the whole design argument: build the changeover in from the start rather than treating each one as an incident.
The address belongs to the office, not the officer
secretary@ and president@ should be role addresses backed by a group, with whoever currently holds the office added to it. Correspondence then continues across a term change without buyers, banks or departments being told a new personal address every few years.
The society's records, not the secretary's
A Shared Drive belongs to the organisation rather than to whoever created the files. When minutes, registers and correspondence sit in an outgoing office bearer's personal account or laptop, the organisation's own history leaves the building with him.
Administrative control cannot sit with a term
If the only person who can add or remove users is an elected officer, control of the whole setup turns over with the committee. Super-admin should be held by more than one person, at least one of whom is not standing for election.
Who holds which administrative role, and what each one can actually do, is worth deciding deliberately rather than by default — that is covered on the administration page. It is a far easier conversation before a changeover than during one.
The sample that was approved
A furnishings order is not settled by what was discussed. It is settled by what was approved: one sample, one colourway, one weight, one packing instruction. Everything expensive that goes wrong in this trade goes wrong in the gap between those two things.
A shade is a fact, not an opinion
A buyer approves one sample, in one colourway, at one weight. Dated photographs of the approved piece, filed against the order, settle the argument that begins with “this is not what we agreed” — which words in an email thread rarely do.
Specification travels further than the conversation
Counts, widths, weave, finish, packing and labelling written once into a document attached to the order, rather than restated across fifteen emails, three of which contradict each other. The document is what the floor works to.

Around the office rather than around the person. secretary@ and president@ become role addresses backed by groups, and whoever currently holds the office is added to the group and removed at the end of the term. Correspondence continues across the changeover without anyone having to notify buyers, banks or departments of a new address. The individual keeps their own named account for their own work; the office keeps its address permanently. Doing it this way also means a handover is a membership change that takes minutes, rather than a laptop being carried from one house to another.
Who should hold super-admin in a cooperative society?
More than one person, and not only people whose position depends on an election. Super-admin is the account that can add and remove users, reset passwords and read anything in the organisation — if it sits solely with an office bearer, control of your entire setup turns over with the committee, and a contested changeover becomes a technical problem as well as a political one. The usual arrangement is two or three holders, including at least one person in a continuing staff role, with day-to-day tasks handled through delegated admin roles rather than the full account.
Do our members need licences?
Almost never. A licence is for somebody who needs an account of their own — an inbox, files, a calendar. Members who need to receive notices, circulars and general body papers do not need accounts; they need to be on a distribution list, which is a group and costs nothing extra. Count the people who actually work in the office and correspond on the organisation's behalf, then add exceptions. For most societies that number is far smaller than the membership roll.
Where should approved samples and specifications be kept?
In a Shared Drive owned by the company, organised by buyer and by order, rather than as attachments in whoever's inbox received them. A handloom order is settled by what was approved — a specific sample, in a specific colourway, at a specific weight — and the useful record is a dated photograph of the approved piece filed with the written specification. The test is whether a repeat order eighteen months later can be matched by somebody who was not involved the first time.

More than it does for a business trading locally. Your correspondent is often someone who has never met you, judging a quotation partly on whether the address looks like a real company, and their mail system is judging whether your domain is authenticated. Mail from a domain with no SPF, DKIM or DMARC record is markedly more likely to be filtered before anyone reads it — and you never find out, because a message that is silently binned does not bounce. Setting those three records up is a short piece of work with a disproportionate effect.
