Kerala's northernmost district is also its least typical. Where Kerala stops
Kasaragod runs from the Karnataka border down a long coastal strip, with the interior climbing towards the Ghats behind it. Arecanut, coconut, rubber and cashew come out of the hinterland; fisheries and trade run along the coast; and the hospitality businesses around Bekal have grown up on this stretch over the last two decades.
The district is often described as the place where seven languages meet — Malayalam, Kannada, Tulu, Beary, Konkani and others besides. That is not a tourist-brochure line here. In the northern taluks a firm may correspond as naturally in Kannada as in Malayalam, and a single company's records can run in three languages across two scripts.
The other structural fact is distance. Mangaluru is close enough to be the city most businesses here actually deal with, while everything that administers them sits several hundred kilometres to the south. Very little gets settled by walking in, which puts an unusual amount of weight on what is written down.
More than one script in the same company
Working across languages is not the problem people expect it to be, and it is a problem in a way they do not expect. The software handles the scripts. What it cannot handle is a document that was photographed rather than written, or a supplier whose name three colleagues have spelled three different ways.
Search does not care which script it is in
Gmail and Drive index text in Malayalam and Kannada as readily as in English, so a thread in one and an attachment in another are both findable. The condition attached to that sentence is the important part: it has to be text.
A photograph of a document is a gamble
A page snapped on a phone and sent as an image is not the same object as the document. What you can select, you can find with certainty a year later. It is worth making a rule of it — documents as documents, photographs only as evidence of physical condition.
One supplier, three spellings
Transliteration varies with whoever typed it, so the same firm ends up entered three different ways across three people's contacts, and none of them matches what you type when you search. Working from one shared list, and searching by the domain of an address rather than by a name, removes the guesswork.
A role address reads the same in every language
orders@ and accounts@ need no transliteration and get typed correctly by a correspondent working in any of them. A personal, name-based address gets mistyped — and mail that never arrives is mail you never find out about.
Role addresses and a group structure that matches how you actually work are decided during implementation, and are considerably harder to change once a few years of correspondence has accumulated against the wrong addresses.
Almost nothing here gets done by walking in
Your bank's regional office, your auditor, your equipment supplier and the department you are filing with are all somewhere else — often in another state. The consequence is that an unusual share of this district's business is conducted in writing, with people who are never going to turn up at the door.
The address is most of the first impression
When the counterparty is never going to visit, your domain address is a large share of what they have to judge you on. A quotation from a personal Gmail, or from an address on a hosting company's domain, is read differently from one sent from your own — and to a stranger that difference is not small.
What was agreed is what was written
There is no corridor to settle it in afterwards. If a rate, a specification or a delivery date is not in writing, in an account the company owns rather than an individual's, it effectively did not happen. That is an argument for discipline about what goes into email, not for more software.
An attachment is not a filing system
Mailing a large scan to an auditor in another state hands them a copy that is out of date the moment anything changes, and gives you no way to withdraw it. A shared folder is current, retrievable and revocable, and you can see that they opened it.
A deadline you cannot drive to
Filings, renewals and submissions handled entirely at a distance, where there is no possibility of walking a paper across at four o'clock. Shared calendars with the reminder set early, and the documents assembled before the week they are due, are worth more here than somewhere you could improvise.

Not for the software. Gmail and Drive index text in all three, so a thread in one language and a document in another are equally findable, and nothing needs to be standardised on a single language for the system's benefit. Where it causes real trouble is elsewhere: the same supplier gets entered under three different transliterations by three different people, so nobody can find anything by name. Working from one shared contact list, using role addresses that need no transliteration, and searching by the domain of an address rather than by a spelling, solves most of it.
Can we type in Malayalam and Kannada without installing anything?
Google Input Tools supports transliteration for both Malayalam and Kannada, along with Inscript and phonetic keyboard layouts for each — transliteration meaning you type phonetically in Latin letters and it converts as you go. In Gmail it is switched on under Settings, then Language, then "Enable input tools", and the specific tools are chosen from "Edit tools". One limitation worth knowing in advance, which Google states in its own documentation: input tools can only be set up in a browser, not in the Gmail mobile app.
Should documents be typed or photographed?
Typed, wherever the document originates with you. A photograph is a picture of information rather than the information, and the difference shows up the day somebody needs to find it and does not know which month it was in. Photographs still earn their place as evidence of a physical thing — the condition of a consignment, a damaged package, a signed acknowledgement handed over in person — and those belong in a dated folder against the relevant order rather than in a chat thread that scrolls away.
Most of our suppliers and professionals are in Mangaluru. Does that change anything?
Nothing technical. Google Workspace does not care which state your correspondent is in, and there is no time difference to design around. Two practical things are worth attending to. First, format: many firms across the border work in Microsoft Office, and Drive opens and edits those files directly while Docs and Sheets export to them, so nobody needs to change what they use. Second, sharing: give them access to a folder rather than mailing attachments back and forth, so the version they are reading is the current one and access ends when the job does.
Do our small suppliers need licences?
No. A licence is for somebody inside your organisation who needs an account of their own. Suppliers, agents and buyers correspond with you from their own addresses and cost you nothing, and they can be given access to a specific folder without holding a licence. Count the people who work for you and genuinely need an inbox, then add exceptions — for most trading firms here that number is considerably smaller than the number of people they deal with.
