We work from Angadippuram, in the district immediately south of here. That is worth saying plainly because most of what follows is not about software: Malabar's businesses are older, more family-run and more likely to be half in the Gulf than anywhere else in Kerala, and those three facts shape almost every question we get asked in this district.

The district

Malabar's trading and distribution capital

Kochi is Kerala's commercial centre and Thiruvananthapuram its administrative one. Kozhikode is something else again: the wholesale and distribution hub for the whole of north Kerala, with a trading history older than most of the companies in it and a food industry the city is known for well beyond the state.

That produces a particular mix. A great many businesses here are family-run and second or third generation. A great many have a partner, a brother or a son working in the Gulf. And a fair number were trading profitably for decades before anyone in the office had a company email address — which changes what a move to Google Workspace actually involves.

Alongside that sits Cyberpark, Kerala's third IT park, and the smaller services and product teams around it — who tend to want exactly the opposite conversation.

The business that runs from two countries

Malabar's links with the Gulf are old enough that plenty of businesses here are genuinely binational — the office and the staff in Kozhikode, a partner or an owner in Dubai, Sharjah, Doha or Muscat. It is normal, it works, and it produces a specific set of problems that a single-location business never has.

Two working days that barely overlap

Gulf Standard Time runs ninety minutes behind IST. It sounds trivial and it is not: an approval requested at five in the evening in Kozhikode reaches a partner mid-afternoon in Sharjah, and the answer arrives after the office here has closed. Shared calendars and documents that both ends can open without asking remove most of that lag.

The shared password problem

The most common arrangement we find is one mailbox both sides sign into. It works until somebody changes the password, a device is lost, or a former employee still has it. A delegated mailbox or a group gives both people genuine access under their own identity, and removes one of them cleanly when that day comes.

Where the person authorising a payment is in the Gulf and the person making it is in Kozhikode, the authorisation travels by email. That is precisely the message worth forging, and it is why domain authentication matters as much for an internally split business as for an exporter.

Documents on a laptop in Dubai are not documents the Kozhikode office has. Shared Drives owned by the company, rather than folders owned by whoever created them, is the difference between a business with two offices and a business with two halves.

None of this needs a bigger edition or more licences. It needs the structure decided deliberately rather than inherited from whatever was set up first — which is what implementation covers.

When the founder's inbox is the business

This is the conversation we have most often in Kozhikode, and it is rarely how it starts. Someone asks about company email addresses, and it emerges over the next twenty minutes that a substantial part of the business exists inside one personal Gmail account that one person can open.

Individually none of these is dramatic. Together they mean that an illness, a falling-out or a lost phone is a business continuity event, and that handing the firm to the next generation involves an inbox rather than a handover.

The fix is neither expensive nor complicated: a company domain, role addresses like accounts@ and orders@ that route to more than one person, files in Shared Drives owned by the company, and more than one holder of administrative access. What it does require is doing it while nothing is wrong, which is the part people put off.

A revised list sent from a personal account, to a hundred dealers, from a domain with no authentication. Some of it lands in spam, some of it does not arrive, and nobody finds out which. Proper domain email with SPF, DKIM and DMARC is the unglamorous fix.

Most migration advice assumes you are leaving one system for another. Around Kallai, Feroke, Beypore and the older parts of the market, that assumption often does not hold — the starting point is not a different platform but almost no platform, and pretending otherwise produces a rollout nobody uses.

Usually means the business runs on phone calls and WhatsApp, with one personal Gmail address for anything official. That is a smaller migration than most — there is little to move — but a bigger change in how people work, so the training half matters more than the technical half.

We work from Angadippuram, which is in Malappuram district — the district immediately south of Kozhikode. So this is genuinely the next district over rather than the other end of the state. That said, we would not oversell it: domain verification, DNS and MX changes, tenant configuration, migration and admin handover are all done remotely, and that is how the work runs regardless. What proximity and the same working hours do give you is someone reachable during your own day, in Malayalam, who already knows how your setup is configured.

Is Kozhikode the same as Calicut?

Yes. Calicut is the older anglicised name, still used constantly in business and in company names, while Kozhikode is the official name of the city and the district. The district also covers Vadakara, Koyilandy, Feroke, Ramanattukara, Beypore, Kunnamangalam, Thamarassery and Balussery. We work across all of it.

Our business is run partly from the Gulf. Does that complicate things?

Not technically, and it is a very common arrangement in this district. Google Workspace is reached from anywhere, so a partner in Dubai, Sharjah or Doha works from the same files and calendars as the office here. What is worth changing is the habit that usually comes with it: one mailbox that both sides share a password to. That becomes a delegated mailbox or a group, so each person signs in as themselves, both keep access, and anyone who leaves can be removed without changing a password everybody uses.

What happens to the business if the owner's email account is lost?

In a lot of family firms here, considerably more than people expect. Supplier relationships, agreed prices, the domain registration, bank and licence correspondence, and administrative access to everything can all sit behind one personal account. The fix is not complicated — a company domain, role addresses that route to more than one person, and more than one holder of administrative access — but it has to be done before it is needed rather than after.

We mostly use WhatsApp and phone calls. Is this worth it for us?

Sometimes honestly not, and we will say so. If you are three people and nothing you send needs to be retrieved later, domain email is a modest improvement and little more. It starts earning its cost when you have dealers or suppliers who need a price list that reliably arrives, when a dispute turns on what was agreed six months ago, or when staff turnover means correspondence has to outlive the person who sent it.

Can you migrate mail from an old webmail account with very little storage?

Yes, and this is common in Kozhikode. Whatever is still in the mailbox comes across over IMAP. The difficult part is what is already gone — where staff have been deleting mail for years to stay under quota, that correspondence cannot be recovered. It is worth doing the migration sooner rather than later for exactly that reason, and worth sizing the new storage against your real volume so the deleting stops.
