Google Workspace vs Zoho Workplace

Zoho is cheaper. Google is better at being a workplace. Neither of those sentences settles it, and the thing that usually does is not on most comparison pages at all.

Tech Geum sells and supports both — a Google Workspace partner and reseller, and a certified Zoho partner. That is an awkward position for writing a comparison and a very good one for being trusted with the answer. Of the 16 rows below, 6 go to Zoho and 5 to Google.

The short answer

They are not really competing for the same job

Most of the confusion in this comparison comes from treating them as two versions of the same product. They are not. One is a workplace; the other is a workplace inside a business suite.

Workplace is the mail-and-documents corner of a much larger suite. Its strongest argument is not the product in isolation — it is that CRM, books, desk and projects can sit beside it under one vendor, one bill and one administration. If you want that, nothing Google sells competes with it.

Choose it if the workplace itself is the product you are buying

Google is not trying to run your whole business. It is trying to be the place people write, meet, store and search all day, and it is very good at that. Its strongest argument is depth in a narrow job, plus an ecosystem where nearly every other tool you buy already integrates with it.

  • Licence cost at list is materially lower, at every comparable tier.

  • Genuine mail-only plans. Mail Lite and Mail Premium sell you a mailbox and nothing else — Google's cheapest tier still bundles the suite.

  • Retention storage is a named, included allowance on the upper plans rather than an add-on to reason about.

  • The rest of the business can live with it: CRM, Books, Desk, Projects, People — one vendor, one bill, one admin.

  • You can choose an Indian data centre. For a business with a residency requirement this is not a preference, it is the whole decision.

  • Storage at the mid tier is not close — Standard is 2 TB per user against a team-wide allowance on the Zoho side.

  • Document co-editing is the benchmark everyone else is measured against, and has been for a decade.

  • Search across mail and files is noticeably better, which matters more the longer you have been in business.

  • Nearly every SaaS product you buy already integrates with Google Workspace and supports Sign in with Google.

  • People already know Gmail, so the training cost is close to zero and adoption is not a project.

Before you decide

Two things that decide it more often than features do

Feature comparisons tend to settle into a draw, because both products do the obvious things competently. These two are different: they are structural, they are checkable, and either one can end the discussion on its own.

Storage is allocated differently, and the difference is large

Google allocates per user — Starter is 30 GB each, Standard 2 TB each, Enterprise 5 TB each. Zoho Workplace allocates file storage to the team at small sizes: Standard gives 100 GB per team at 3–10 users, Professional 1 TB per team. Below three users it reverts to a per-user figure. For a team of eight with video or design files, that is the difference between 16 TB and 1 TB, and it is the single most common reason a Zoho quote that looked cheaper stops being cheaper.

Where your data is allowed to sit

Zoho operates data centres in several countries including India, and your account is assigned to one when you sign up. Google Workspace's data regions policy offers the United States, the European Union, or no preference — India is not an option, and the policy itself requires Business Standard or above. If you have a contractual or regulatory requirement to keep data in India, that is not a point in a comparison table. It decides the matter, and it decides it against the product we sell.

Five questions that settle it faster than a feature list

Answer these honestly and the choice usually makes itself. Two of them can end the discussion outright.

Are you going to buy a CRM in the next two years?

If yes, and you would rather it came from the same vendor as your email, that points at Zoho hard enough that the rest of this page is detail.

Does anything oblige you to keep data in India?

If yes, the comparison is over. Zoho can do it; Google Workspace's data regions policy cannot.

How much do people store, and is it growing?

Per-user storage on Google versus a team-wide pool on Zoho is the difference that catches people out eighteen months in, not on day one.

How many hours a day do people spend writing together?

If the answer is 'most of them', Docs and Sheets are worth paying more for. If it is 'we email attachments around', you are paying for something you will not use.

What else do you buy that has to connect?

Check your existing tools before deciding. If everything you use lists a Google integration and nothing lists Zoho, that is a real cost you will pay in glue code.

You sell Google Workspace. Why does Zoho take more rows in your own table?

Because it does, on the rows as we have written them. We are also a certified Zoho partner, which is the only reason this page can be written at all — we are not obliged to conclude that the product with the better margin is the product you need, because we sell both. A comparison where the author's product wins every row is not a comparison, it is a brochure, and the rows Zoho takes here are genuinely strong ones: cost, breadth of suite, and Indian data residency.

Which is cheaper?

Zoho, at list price, at every comparable tier — that is not in dispute and we will not pretend otherwise. What is worth checking before you treat that as settled is what the cheaper licence includes. The storage allocation is the usual surprise: a team-wide file storage pool on Zoho against per-user storage on Google. For a small team that stores documents, Zoho is cheaper and stays cheaper. For a team that stores media, the gap narrows or reverses. We quote both against your actual user count and usage rather than against a list-price headline.

Can Google Workspace store our data in India?

No. Google's data regions policy offers the United States, the European Union, or no preference, and India is not among the options. The policy also requires Business Standard or above, so it is not available on the entry tier at all. If you have a contractual or regulatory requirement for Indian data residency, Google Workspace does not meet it and Zoho can — we would tell you that before quoting rather than after. We already use Zoho CRM. Does that settle it?

It weighs heavily but it does not settle it, because the two do integrate. Zoho documents single sign-on with Google as the identity provider, Gmail inside Zoho CRM, and calendar, contact, task and Drive sync — so keeping CRM on Zoho while mail sits on Google is a supported arrangement rather than a workaround. The question becomes whether you want one vendor and one bill, or the better workplace product with a bridge to your CRM. Both are defensible, and we set up both.

Can we move from one to the other later?

Yes, in either direction, and we do it both ways. Mail, contacts and calendars move predictably. What does not move cleanly is anything built on top — shared mailbox structures, automations, forms, and any documents with heavy formatting. Plan the migration around those rather than around the mailboxes, which are the easy part. The genuinely expensive thing is changing your mind twice, so it is worth spending an hour on the decision now.

Is Zoho Workplace the same as Zoho One?

No, and the distinction matters when you compare prices. Zoho Workplace is the mail, documents, storage, chat and meetings bundle — the part that competes with Google Workspace. Zoho One is the much larger suite that includes Workplace along with CRM, Books, Desk, Projects and dozens of other applications. Comparing Zoho One's price to Google Workspace's is not a like-for-like comparison, and it is the most common way these two get compared unfairly in either direction.

If the workplace itself is what you are buying — people writing together, meeting, searching years of material, and connecting to a dozen other tools — choose Google Workspace. Most businesses that come to us already know which of those describes them; what they want is permission to stop deliberating, and a written reason they can show somebody else.
