Microsoft 365 Consulting

Advice before the spend rather than after it — platform choice, licensing strategy, tenant assessment and governance.

We resell Microsoft 365, Google Workspace and Zoho. That is the only reason we can answer “should we be on Microsoft 365 at all?” without the answer being decided in advance.

Consulting decides; implementation does. An engagement covers platform selection, licensing strategy, assessment of an existing tenant, governance policy and a phased roadmap, and ends in a written recommendation with the reasoning and the rejected alternatives set out. It is quoted separately from implementation on purpose, so the advice is not a loss-leader for a bigger build.

What we are asked for

Six kinds of engagement

Platform selection

Microsoft 365, Google Workspace or Zoho — decided against how your business actually works rather than against a feature matrix. We resell all three, which is the only reason this question can be asked honestly.

Before you commit to anything

Licensing strategy

Which plans, for whom, and in what mix. The single largest controllable line in most Microsoft 365 budgets, and the one most often decided by whoever was quickest to buy.

Before purchase, or before renewal

Tenant assessment

A review of an existing tenant: security posture, licence allocation, what is configured against what should be, and what is being paid for twice.

If you inherited a tenant

Roadmap and phasing

What to do first, what can wait, and what should not be attempted at the same time as anything else. Most failed rollouts are sequencing failures, not technical ones.

Governance and policy

Who can create Teams, who can share externally, what happens to a leaver's data, how long things are retained. Ungoverned tenants become unmanageable within about two years.

Before it gets away from you

Second opinion on a quote

Someone has quoted you for Microsoft 365 and you want to know whether the plan mix and the scope are reasonable. We will tell you, including when the answer is that it looks fine.

The real questions

Six questions worth paying to have answered properly

These are what clients actually arrive with. None of them are answerable from a feature comparison, and all of them are expensive to get wrong.

Should we be on Microsoft 365 at all?

The honest answer is sometimes no. If your work is genuinely collaborative document editing and you have little IT capacity, Google Workspace is often the better fit. If you mainly need mailboxes and low cost matters most, a lighter product may serve. We would rather say that at the consulting stage than migrate you twice.

Which plans, for which people?

Almost never one plan for everybody. The productive question is who genuinely needs desktop Office, who needs device management, and who only needs email and the browser apps. That mapping usually decides most of the bill.

What do we do about the tenant we already have?

Inherited tenants are common — set up quickly years ago by someone who has since left. The assessment establishes what is actually configured, what is exposed, and whether it is cheaper to remediate or to rebuild alongside and move.

How do we stop it sprawling?

Teams creation, external sharing and site proliferation are governance decisions, not technical ones. Deciding them early costs a conversation; deciding them late costs a clean-up project.

What is this going to cost over three years?

Licences, GST, implementation, migration, backup, and the administration overhead. A three-year view changes plan decisions that look obvious on a one-month price comparison.

Can we run Microsoft 365 alongside Zoho?

Yes, commonly — Microsoft 365 for email and documents, Zoho for CRM or accounting. We implement both, so we can map the integration points rather than pretending one product should do everything.

Why you can believe the answer

The recommendation is not decided before we start

Most Microsoft 365 consulting is sold by firms that only sell Microsoft 365. That does not make the advice wrong, but it does mean one answer was never available.

We resell Microsoft 365, Google Workspace and Zoho, so no recommendation is predetermined by what we happen to sell

  • check_circle

The written recommendation is yours, and you are free to implement it with anybody

  • check_circle

Where the answer is "stay where you are", we will say that — it costs us a project and saves you a bad one

Consulting is quoted separately from implementation, so the advice is not a loss-leader for a bigger build

How it runs

Five stages, ending in something written down

1

Scoping call

What prompted the question, what you run today, and what decision is actually pending. Usually 30–45 minutes, at no charge.

2

Discovery

Access to the tenant if one exists, a look at your DNS, licence inventory, and short conversations with the people who will live with the outcome.

3

Analysis

Findings assembled against what you told us matters — cost, risk, disruption, timeline. Where those conflict, we say so rather than quietly optimising for one.

4

Recommendation

A written recommendation with the reasoning, the alternatives we rejected and why, and what it will cost. Yours to keep and to act on with anyone.

5

Decision support

We walk your team or your board through it and answer the awkward questions. Implementation is a separate decision, and a separate quote.

Consulting — common questions

help

What does Microsoft 365 consulting actually involve?

expand_more

Deciding rather than doing. Platform selection, licensing strategy, assessment of an existing tenant, governance policy, and a phased roadmap. It ends in a written recommendation with the reasoning and the rejected alternatives set out, not in a configured tenant — implementation is separate work with a separate quote.

help

How is consulting different from implementation?

expand_more

Consulting answers what you should do and why. Implementation does it. They are quoted separately on purpose: bundling them creates a quiet incentive for the advice to recommend the largest possible build. Plenty of clients take the recommendation and implement it themselves or with their own IT team, which is a perfectly good outcome.

help

Will you just recommend Microsoft 365 because you sell it?

expand_more

We resell Microsoft 365, Google Workspace and Zoho, so all three outcomes pay us similarly and none of them is the default. We have told clients to stay on Google, to stay where they are, and on occasion that the problem they described is not a platform problem at all. If you want to see the reasoning we apply, our comparison of the two suites sets out where each genuinely wins.

help

We already have Microsoft 365. Is consulting still useful?

expand_more

Often more useful. A tenant assessment on an established organisation reliably finds something — licences assigned to people who left, shared mailboxes being paid for as user accounts, a security product bought that the plan already included, external sharing wider than anyone realised. None of it is dramatic and most of it is recurring.

help

How long does a consulting engagement take?

expand_more

A platform-selection question is usually a week or two. A full tenant assessment with a roadmap takes longer, mostly waiting on access and on conversations with your people. We scope it after the first call so you know the cost and duration before committing.

help

What does it cost?

expand_more

Quoted as fixed scope after the scoping call, which is free. We do not bill consulting hourly — an open-ended hourly rate on advisory work rewards taking longer, which is the wrong incentive for both of us.

help

Do you work with our existing IT team or provider?

expand_more

Yes, and where one exists it is usually the better arrangement. A common pattern is that we provide the assessment and recommendation, and your existing team or provider implements it. We are not trying to displace anybody, and we will say plainly when your current setup is in good shape.

Book a Microsoft 365 scoping call

Tell us what decision is pending. Thirty to forty-five minutes, no charge, and it ends with a scope and a price rather than a proposal you did not ask for.
