
Zoho and Microsoft 365 Integration
Microsoft 365 for email and documents, Zoho for CRM and accounting. A reasonable arrangement rather than a failure to decide — provided the connection points are built properly.
We implement both, which is why we can tell you that most of the integrations people ask for are not worth building, and which two are.
Two connections matter; the rest usually do not. Single sign-on through Entra ID gives you one identity per person and one place to revoke access. Mail authentication — getting SPF and DKIM right so Zoho can send as your domain — determines whether your invoices reach customers or their junk folders. Beyond those two, contact and record syncing is where mixed setups most often go wrong, and at modest volume not syncing is frequently the better answer.
This is a deliberate choice, not a muddle
Microsoft for email and documents
Exchange Online, Outlook, the desktop Office apps and SharePoint. Where a business runs on Excel or has staff who have used Outlook for fifteen years, this is not a fight worth having.
Zoho for the business applications
CRM, Books, Inventory, Desk. Strong, well-priced, and deep in areas where Microsoft's equivalents are either enterprise-scale or absent for an SME budget.
Neither vendor does both well for an SME
Microsoft's business application layer is Dynamics, which is a different budget. Zoho's mail and office suite is capable but is not desktop Excel. Running both is a reasonable answer rather than a compromise.
Six connection points, ranked by what they are worth
The first two are worth doing in almost every case. The last one is worth doing in rather fewer than the number of times we are asked for it.
Single sign-on
Value: High
Zoho applications authenticated against Microsoft Entra ID, so staff use one identity and access is revoked in one place when somebody leaves. Usually the first thing worth doing.
Zoho sending as your domain
Value: High
Zoho CRM and Books send quotes, invoices and notifications. Unless your SPF record permits Zoho and DKIM is configured, those land in junk. This is the single most common problem we are called about in a mixed setup.
Outlook and Zoho CRM
Value: Medium to high
Zoho's Outlook plug-in lets staff log emails to CRM records without leaving Outlook. Worth it where sales genuinely lives in email, which for most Indian SMEs it does.
Documents into SharePoint
Value: Medium
Quotes and invoices generated in Zoho filed automatically into the right SharePoint library. Removes a step everybody forgets, but only pays at real volume.
Calendar sync
Value: Medium
Zoho CRM activities appearing in Outlook calendars. Useful and occasionally fiddly, because two systems disagreeing about a meeting is worse than no sync.
Contact and record sync
Value: Depends entirely
Two-way syncing of customers between systems. This is where mixed setups most often go wrong, because the two systems mean different things by 'customer'. Only worth it at volume, with one system agreed as authoritative.
Five ways mixed setups break
None of these are Zoho’s fault or Microsoft’s. They are what happens at the seam between two systems when nobody owns the seam.
Nobody owns the data model
A 'contact' in Zoho CRM and a contact in Outlook are not the same object with the same rules. Syncing them without deciding which system is authoritative produces duplicates that multiply quietly.
SPF exceeds its lookup limit
Adding Zoho, Microsoft and a marketing tool to one SPF record can breach the DNS lookup limit, at which point the record silently stops working and all your mail is suspect. It needs to be constructed properly, not appended to.
Two-way sync with no authority
If both systems can edit the same record, they will, and the sync will resolve it in a way nobody predicted. One side should be authoritative for each field.
Integrations on a personal account
Built under whoever set it up. Works fine until they leave, then stops at the worst moment with nobody knowing why.
Nobody watching for failures
Sync failures are quiet. Businesses discover them weeks later, when somebody notices the last month of records never arrived.

Almost certainly SPF and DKIM. Zoho is sending mail claiming to be your domain, and unless your SPF record authorises it and DKIM signing is set up in Zoho, receiving servers have no reason to trust it. It is straightforward to fix and it is the single most common issue in a mixed Microsoft and Zoho setup.

Yes. Zoho provides an Outlook plug-in that lets staff attach emails to CRM records without leaving Outlook. For most Indian SMEs, where sales genuinely happens in email rather than in the CRM, this is the integration that actually changes behaviour — a CRM nobody updates is worse than no CRM.

This is where mixed setups most often go wrong: both systems can edit the same record, both do, and the sync resolves it in a way nobody predicted. Duplicates multiply quietly. Where the volume is modest, not syncing is frequently the better answer.

You pay for both, so in licence terms yes. Whether it costs more overall depends on the alternative. Replacing Zoho CRM with a Microsoft equivalent at comparable depth means Dynamics, and replacing Microsoft 365 with Zoho's suite means giving up desktop Office. For many businesses the two-vendor arrangement is cheaper than either single-vendor version.

That is a legitimate destination and we will help you reach it. Sometimes the right answer after a couple of years of running both is to pick one. What we would not recommend is making that decision because an integration is misbehaving — fix the integration first, then decide on the merits.
