Microsoft 365 Copilot
What it costs in rupees, which people it genuinely helps, and the permissions problem you have to solve before it is safe to switch on.
Copilot answers using whatever the person asking can already reach. In a tenant where sharing has never been reviewed, that is a more interesting statement than it first appears.
Start with Copilot Chat, which costs nothing extra. Microsoft states it is available at no additional cost to Entra ID users with an eligible subscription, and a fair number of businesses find it covers what they actually wanted. The paid version reaches into your own documents and mail — which is genuinely more useful and is also why your SharePoint permissions have to be reviewed first. Then licence the handful of people whose work it measurably changes, and expand from evidence.
“Copilot” means three separate products
Much of the confusion about Copilot pricing comes from these being discussed as one thing. They are priced completely differently.
Copilot Chat
No additional cost
Microsoft states Copilot Chat is available at no additional cost to Entra ID users with an eligible Microsoft 365 subscription. Web-grounded chat, writing assistance and data analysis. Start here — a good number of businesses find it covers what they actually wanted.
Copilot in the apps
Paid
Work-grounded Copilot inside Word, Excel, PowerPoint, Outlook and Teams, reaching into your own documents and mail. This is the part people mean when they say Copilot, and the part that costs money.
Agents
Metered
Microsoft states an Azure subscription is required to use agents, priced on a metered basis. Consumption-based rather than per-user, which makes it harder to budget and easier to overspend without noticing.

Microsoft was also advertising a promotional rate on the Business add-on for a defined window in 2026. Promotions lapse, so the figures above are the regular list prices — the dated detail is on the pricing page.
Copilot inherits your permissions
This is the part that gets skipped. Copilot does not create new exposure — it makes existing exposure searchable in plain English, which for practical purposes is the same thing.
Your permissions become your blast radius
Copilot answers using what the person asking already has access to. If your SharePoint permissions are loose — and in most tenants that have not been reviewed, they are — Copilot will cheerfully surface the salary spreadsheet somebody over-shared in 2023. It does not create the exposure; it makes it trivially discoverable.
It is only as good as your content
Copilot reaches into your documents. If those are scattered across personal OneDrives, duplicated across six versions and largely undated, its answers will reflect that. Businesses with a tidy SharePoint get noticeably more from it.
Oversharing becomes visible
Most tenants have files shared more widely than anyone realises. That has always been a risk; Copilot turns it into a search result. Reviewing sharing before enabling Copilot is not optional.
It is confidently wrong sometimes
Output needs checking, particularly anything numeric or anything going to a customer. Teams that treat it as a draft-generator do well; teams that treat it as an authority eventually have an incident.
Value varies enormously by role
This is the argument against buying it for everybody. Two of these rows say the money is better spent elsewhere.

Almost certainly not at first. It is the largest per-user line available and its value varies enormously by role — strong for people who write a lot or sit in many meetings, weak for anyone doing repetitive structured work or living in a line-of-business application. Licence the specific people whose work it measurably changes, run that for a quarter, then expand from evidence rather than from a demo.

Review sharing and permissions across SharePoint and OneDrive, and get organisational content out of personal OneDrives into properly permissioned SharePoint sites. Both are worth doing regardless. Copilot simply removes the obscurity that was previously doing the work of a permissions model.

Agents are configurable AI assistants for specific tasks. Microsoft states an Azure subscription is required to use them and that they are priced on a metered basis — consumption rather than per user. That makes them harder to budget for and easier to overspend on quietly. For most businesses this is a later question, well after establishing whether ordinary Copilot earns its price.

The sensible approach is a small paid pilot rather than a trial: pick five to ten people whose work Copilot should plausibly change, licence them for a quarter, and ask them at the end whether they would give it up. That answer is worth more than any vendor case study, and it costs a fraction of an organisation-wide rollout you then have to justify.
