Gemini in Google Workspace
You no longer buy Gemini. You buy an edition, and the edition decides how much AI you get — which means the licensing conversation and the AI conversation are now the same conversation.
The fact worth knowing first, if you are in India: the Base tier includes none of it. Google's own comparison marks the Gemini categories as unsupported on that SKU, and Base is exactly what a cost-conscious small business gets steered towards.
Why most advice on this is out of date
This is the fastest-moving part of Google Workspace, and a great deal of what is still online describes a way of buying it that Google has already withdrawn.
The standalone add-ons are gone
Gemini Business and Gemini Enterprise used to be bought separately, per user, on top of your edition. Google withdrew them in 2025 and folded the AI capability into the editions themselves. If a quotation or article you are reading prices Gemini as a separate line, it was written against a model that no longer exists.
The edition now decides how much you get
There is no AI purchase to make and no AI decision separate from the licensing decision. Choosing between tiers is now partly an AI choice, whether or not anybody framed it that way — which makes it worth knowing what each tier actually includes before the renewal rather than after.
A promotional allowance became a paid add-on
Google gave Business and Enterprise customers promotional access to higher usage of advanced image and video generation, and from 1 March 2026 continuing at that level required purchasing the AI Expanded Access add-on. Worth noting not for its own sake but as the pattern: allowances on this move, and designing a process that depends on today's limits is a choice with a shelf life.
Which is why every claim here carries a date
This is the fastest-changing part of Google Workspace by some distance. We would rather tell you the position as at a stated date and confirm it when you buy than present it as settled fact — and you should treat any undated page on this subject, including this one in a year, with suspicion.

If you are a small business in India
The general coverage of this subject is written for organisations several sizes larger than most of the businesses we work with. Four things follow specifically for a smaller operation on an India price list.
If you are on Base, you have no AI at all
This matters here more than anywhere, because Base is the India-only entry tier and it is precisely what a cost-conscious small business is steered towards. It is a perfectly reasonable tier for professional email on your own domain. It is not a tier with AI in it, and nobody should be surprised by that at renewal.
Starter gives you AI in Gmail and not much beyond it
For a business whose day is mostly correspondence, that may genuinely be the useful part — drafting, summarising a long thread, finding something in a year of mail. But if somebody has been shown Gemini working inside Docs and Sheets and expects that on Starter, they will be disappointed, and it is better to say so now.
The step to Standard is an AI step, not just a storage one
Standard is usually presented as the storage upgrade. It is also where AI stops being a Gmail feature and becomes something present across the applications, with Workspace Studio alongside it. If AI is part of why you are upgrading, that is the actual line — and it is worth weighing against the price difference honestly rather than being sold on both at once.
Decide what it is for before you pay for it
The question worth answering is not whether the features are impressive — they are — but which recurring piece of work in your business they would remove. If nobody can name one, the upgrade is a purchase looking for a use, and we would rather you spent it on getting your shared drives right.
The last of those is not modesty. A great deal of what businesses hope AI will fix turns out to be a filter, a group or a Google Form — the cheapest layers on the automation page, none of which need an upgrade.
What it is good at, and where we would not rely on it
The pattern that holds: it is most valuable where the answer can be checked against something you already have, and least trustworthy where it cannot.
Finding things you know exist
Summarising a long thread, pulling the answer out of a document you cannot quite locate, asking what was agreed in a meeting you missed. This is the least glamorous use and the one that returns most reliably, because the answer is checkable against something.
First drafts of routine writing
A reply, a summary, the third version of a standard letter. Useful in proportion to how routine the writing is — and the moment it matters exactly what was said, somebody has to read it properly before it goes.
Getting started in a spreadsheet
Structuring something, writing the formula you half remember, explaining what a sheet somebody else built is doing. Good at the beginning of a task, and still worth checking at the end of one.
Where we would not rely on it
Anything where being wrong is expensive and the answer is not easily checked — a figure quoted to a customer, a compliance position, a legal or tax question. The failure mode is not that it refuses; it is that it answers confidently. Treat output as a draft by somebody able but unaccountable.
Gemini in Google Workspace — common questions
Do we need to buy Gemini separately?
No, not any more. Gemini Business and Gemini Enterprise were sold as per-user add-ons on top of your edition; Google withdrew them in 2025 and folded the capability into the editions themselves. There is now no separate Gemini purchase to make for the core features — your edition determines what you get. The practical consequence is that choosing a tier is now partly an AI decision even when nobody presents it that way. Checked against Google's published material in September 2026.
Does the India Base tier include Gemini?

What do we get on Starter?
A Gemini assistant in Gmail, basic access to the Gemini app, and basic Notebook access with a small daily allowance of audio overviews. Workspace Studio is not included. For a business whose work is mostly correspondence that may be the genuinely useful part. What you will not get is Gemini working across Docs, Sheets and Meet — so if somebody has seen a demonstration of that and is expecting it on Starter, the expectation needs correcting before the purchase rather than after.
What is the AI Expanded Access add-on?
A paid add-on that raises usage limits on the more advanced AI capabilities. Google had given Business and Enterprise customers promotional access to higher usage of advanced image and video generation, and from 1 March 2026 continuing at that level required buying the add-on. Most small businesses will never approach the standard limits and can ignore it entirely. It is worth knowing about mainly as an illustration of the pattern: allowances on this shift, so building a process that depends on a particular limit is a decision with a shelf life.
Is it worth upgrading an edition just for the AI?
Only if somebody can name the recurring piece of work it would remove. That is not scepticism about the technology — the features are genuinely capable, and the step from Starter to Standard is a real one, where AI stops being a Gmail feature and becomes present across the applications. But an upgrade bought because the demonstration was impressive tends to go unused, and for most businesses we see, the money returns more when spent on structure: shared drives that hold the company's files, groups that survive people leaving, and access that is actually controlled.
Is our data used to train Google's models?
This is the right question to ask and the wrong page to take a final answer from. Google makes specific commitments about Workspace data in its terms, and those commitments differ by edition and change over time. Rather than paraphrase them here and be wrong in six months, we confirm the current position against Google's terms for your specific edition when you ask — and if data handling is a material concern for your business, that is worth doing before purchase, not after.
