Gold, finance and a long memory

Retention stops being an IT preference
For most businesses, how long to keep email is a matter of taste and storage. Where a regulator, an auditor or a contractual obligation requires correspondence to be retained and produced on request, it becomes a requirement with a defined answer — and one that somebody will eventually ask you to demonstrate.
The gap is almost always a leaver
Retention policies survive contact with reality until an employee resigns and their mailbox is deleted to free the licence. Everything they sent goes with it. A correct setup keeps the data under policy independently of whether the person still works there.
Keeping it is not the same as finding it
Being able to produce specific correspondence across the whole organisation, by date and by party, is a different capability from having a large mailbox. That search-and-export function is what the higher editions add, and it is the part people discover they are missing at the worst moment.
Holding data beyond the normal rule
When something is disputed, the relevant correspondence needs to stop being deletable — by policy expiry or by a user emptying a folder. That capability exists, it lives in the higher editions, and it is worth knowing about before you need it rather than after.

When what moves between branches is worth something
A showroom group has the same multi-branch problems as any retailer, plus one more: the documentation around what moved, at what value and on whose authority is itself part of the asset. None of what follows requires new software — it requires deciding where that trail lives.
Stock that moves between showrooms
Transfers between branches carry documentation — what moved, at what valuation, authorised by whom. When that trail lives in a personal WhatsApp thread, it is fast and it is unproducible six months later. Email and a Shared Drive are slower to type and considerably easier to answer a question with.
Approvals that should be attributable
A high-value authorisation sent from an account several people sign into cannot be attributed to a person. Per-user accounts with delegated access to a role address keep the convenience and restore the attribution, which matters more as the numbers get larger.
Valuations, hallmarking and insurance paperwork
Certificates and supporting documents arrive as attachments and then live wherever the recipient happened to file them. Shared Drives owned by the company, organised by branch or by period, mean the document is retrievable by whoever is dealing with the query rather than by whoever received it.
Customer documentation held on file
Where high-value transactions require identity documents to be collected, you are holding customer records. Who in the business can open them should be a decision rather than a consequence of everyone sharing one mailbox.
We would not suggest moving day-to-day coordination off whatever already works. The narrower point is that anything which may need to be produced later should be attributable to a person and findable by someone other than its recipient.
Who holds the keys once the business outgrows the family
A lot of Thrissur's larger groups are family-owned and professionally managed, and that combination puts a question on the table that a smaller firm never faces: administrative access is no longer about who is most technical, or most trusted, but about what each role should be able to see.

This is where most policies fail in practice. The instinct is to delete the account to free the licence, and everything that person sent and received goes with it. Under a correct setup the data is retained by policy independently of whether the account is active — and where the mail has to be kept, some editions offer an archived-user licence that preserves it at lower cost than a full seat. The point is that it should be a decided process rather than whatever the available person does that week.

It is fast and it is the reason a lot of businesses here run smoothly, so we would not tell you to stop using it. The issue is narrower: anything that may need to be produced later — what moved, at what valuation, authorised by whom — belongs somewhere searchable and attributable. In practice that means the authorisation goes by email from a named person and the supporting document goes to a Shared Drive, while the day-to-day coordination carries on wherever it already works.
