Four things Thiruvananthapuram buys differently

When the stack is decided in another country
A large share of Thiruvananthapuram's IT employment sits in development centres, back offices and captive units whose parent is somewhere else entirely. The real constraint is policy, not technology
What usually decides it is whether group IT permits a separate tenant at all, and what they require you to evidence if they do. That is a conversation with your head office, and we would rather you have it before buying than after.
Evidencing controls to a group auditor
Enforced two-step verification, separated admin roles, a documented offboarding process and retrievable audit logs. These are the same things a client security questionnaire asks for, and none of them are switched on by default.
When the honest answer is no
Sometimes group policy genuinely rules it out, and occasionally the local entity is better off on the parent's licences. We will say so. Selling you a tenant you are later told to unwind helps nobody, and we would rather keep the relationship.
Tenders, records and the mail that has to arrive
The capital carries a long tail of consultancies, contractors, architects and agencies whose work touches state departments and public bodies. Their requirements are not the ones a retailer or a trading firm has.
The submission that must not bounce
A tender response going out against a deadline is the single least forgiving email a firm sends. A mailbox on shared hosting with no authentication, a full quota, or a spam filter the department's mail server dislikes is a genuine commercial risk on that day — not a general inconvenience.
Correspondence that has to still exist
Queries, clarifications, addenda and approvals form part of the record of how an engagement was awarded and run. Where that has to be produced later, retention stops being an IT preference and becomes a business requirement — which in turn decides the edition.
Documents that outlive the person
Public-sector engagements run for years and the staff on them change. Proposal sets, drawings and approvals belonging to an individual's Drive is the failure mode we see most; owned by the organisation in a Shared Drive, a handover is a change of access rather than an archaeology exercise.
A trail you can actually produce
Admin and login audit logs answer who had access to what and when. They are only meaningful if the tenant was structured so the answer is legible — which is a configuration decision made at the start, not a report you can generate afterwards.

If you are a college, you may be looking at the wrong product
Thiruvananthapuram has an unusual concentration of universities, colleges, research institutes and teaching hospitals, and they are quoted the business editions more often than they should be. Google runs a separate product line for education with a genuinely different commercial model, and it is worth establishing which side of the line you fall on before anything else.
Education Fundamentals is offered at no charge
Google provides it free to qualifying institutions. That is a genuinely different commercial position from the business editions, and institutions are quoted for the wrong product often enough that it is worth raising first.
Google sets the qualifying criteria, not us
They centre on accredited, non-profit educational institutions. We confirm eligibility with Google before anyone plans a budget around it, because assuming it and being wrong is an expensive way to find out.
A coaching centre usually is not eligible
Private training businesses, test-prep centres and commercial skilling operations generally do not qualify however educational the work is. Those are business-edition customers, and it is better to know that at the quote than after.
Paid Education editions sit above the free one
Where an institution needs more — additional security, analytics or capacity — Google offers paid Education editions above Fundamentals. Which one applies depends on the requirement, and is confirmed at quote time.

When headcount moves with the season
Resorts, ayurveda centres and tour operators on the southern coast do not have a stable user count, and the standard advice to commit annually because it is cheaper per user quietly stops being true when a third of those licences sit idle for months.
Committed core
Year-round staff — management, accounts, reservations — on the annual commitment, where the lower per-user rate is genuinely earned because those seats are never idle.
Flexible edge
Seasonal roles on flexible licences, added and removed month to month. The rate is higher, and it still costs less than paying for twelve months of a seat used for five.

The other recurring issue on the coast is the shared login — one reservations@ account that four people know the password to. That is a delegated mailbox or a group, not a shared password, and fixing it is usually the first thing we do.

Usually at the point where somebody outside the company starts asking questions about it — a client's procurement team, an investor's diligence checklist, or a partner's security review. Running on personal accounts is workable until you need to demonstrate that access is controlled, that multi-factor authentication is enforced and that a departing employee's files stay with the company. It is also considerably cheaper to set up properly at fifteen people than to untangle at fifty.

Google's annual commitment is cheaper per user but fixes the count until renewal, while the flexible plan costs more per user and lets you add and remove people month to month.
