Zoho Flow

Every business runs a few apps that do not talk to each other — and someone who copies data between them every day.

Zoho Flow connects Zoho apps with each other and with hundreds of other services — payment gateways such as Razorpay, form builders, online stores, Google Sheets, messaging and email tools — using triggers, conditions and actions, without writing an integration from scratch. We design the flows, build them with error handling, write custom functions where a step needs logic, and set up monitoring so a failed run is noticed. Where a ready-made connector is not enough, our Zoho integration work covers custom API integrations.

What Zoho Flow covers

The parts of Zoho Flow we configure

Zoho Flow is priced by tasks per month — each action a flow performs. The plan is usually decided by task volume and whether you need premium apps or on-premise connections, which start at Professional.

Triggers and actions

A flow starts when something happens — a payment, a form entry, a new order, a scheduled time, an incoming email or webhook — and acts in one or more apps, on every plan.

Conditions and logic

Decisions, delays, loops and data formatting inside a flow, so different records take different paths without a separate flow for each case.

Custom functions

Deluge custom functions for steps that need calculation or lookups beyond the built-in actions, from the Standard plan.

On-premise and premium apps

Connections to systems inside your network through an on-premise agent, premium app connectors and 5-minute polling, from the Professional plan.

Monitoring and re-runs

Flow history kept for 30 to 90 days depending on plan, failure alerts, and automatic re-runs on Professional, so a temporary outage does not lose a record.

Zoho to Zoho

Many Zoho apps already connect natively — Zoho CRM with Books, Desk and SalesIQ. Flow fills the gaps between apps without a built-in link, and between Zoho and everything else.

Which Zoho Flow plan fits

Estimate tasks by multiplying how often each flow runs by the number of actions it performs. Most small businesses fit Standard; on-premise systems need Professional.

PlanPer org / monthTasksWhat it adds
Free₹0100 tasks a monthBase apps, logic and utilities, 15-minute polling, 30 days of flow history.
Standard₹1,4505,000 tasks a monthAdds custom functions and 60 days of history.
Professional₹2,45010,000 tasks a monthAdds premium apps, on-premise integration, automatic re-runs, 5-minute polling and 90 days of history.

Zoho India list price per organisation per month, billed annually, as of October 2026, excluding GST. Higher task tiers cost more. Each action a flow performs counts as a task.

How we implement it

From manual copying to monitored flows

Each flow is designed for the day it fails, not just the day it works.

  1. 1

    Map the hand-offs

We list where data is copied between apps today, how often, and what happens if it is late or wrong.

  2. 2

    Design

Each flow designed with its trigger, conditions, field mapping and what should happen on failure, and task volume estimated.

  3. 3

    Build and test

Flows built with custom functions where needed and tested with real records, including duplicates and missing fields.

  4. 4

    Monitor and hand over

Failure alerts set, a short run book written for your team, and flow history reviewed after the first weeks.

Where integrations go wrong

Six reasons automated flows quietly break

  • No duplicate check, so every re-sent webhook creates another customer.

  • Field mapping that assumes every record is complete, so the first blank phone number stops the flow.

  • No one receives failure alerts, so a broken flow is discovered weeks later.

  • Flows built under an employee's personal account, which stop when that person leaves.

  • Task volume underestimated, so flows pause mid-month when the plan runs out.

  • Flow used where a native Zoho integration already exists, adding a second path that disagrees with the first.

Example scenarios

Flows businesses typically ask for

Example scenarios, not client case studies: the flows we are most often asked to build.

Payment to invoice

A Razorpay payment marks the invoice paid in Zoho Books, updates the deal in CRM and sends the customer a receipt.

Form to lead

Website and landing-page form entries become CRM leads, de-duplicated by phone and email, with the source recorded.

Store order to accounts

Orders from an online store create sales orders and invoices in Zoho, with a WhatsApp or email update to the customer.

FAQs

Zoho Flow — common questions

How much does Zoho Flow cost in India?

Zoho Flow has a Free plan for 100 tasks a month. Standard costs ₹1,450 a month for 5,000 tasks and Professional ₹2,450 for 10,000, billed annually and excluding GST (October 2026), with higher task tiers available. Zoho Flow is also included in Zoho One. Our implementation fee is separate and one-off.

What counts as a task in Zoho Flow?

Each action a flow performs counts as a task. A flow that creates a CRM lead and sends an email uses two tasks every time it runs, so we estimate volume before choosing a plan.

Can Zoho Flow connect Razorpay to Zoho?

Yes. Razorpay is available in Zoho Flow, so payments and failed payments can trigger updates in Zoho Books, Zoho CRM or other apps.

When should we use Zoho Flow instead of a custom integration?

When both apps have Flow connectors and the logic fits triggers, conditions and actions, Flow is quicker to build and easier to maintain. High volumes, complex two-way sync or systems without a connector usually need a custom API integration.

Can Zoho Flow connect to Tally?

Tally runs on a local computer, so there is no simple cloud connector. Depending on what you need, we use Zoho Analytics' TallyPrime connector for reporting, a migration to Zoho Books, or a custom integration. We confirm the right route once we see your setup.
