Payroll Migration to Zoho Payroll

The first Zoho payslip should match the last old one to the rupee — or differ only where everyone agreed it would.

Payroll is the one migration where a small mistake reaches every employee on the same day. Moving to Zoho Payroll means bringing across more than names and salaries: year-to-date income and tax, open loans, pending arrears, declarations, and statutory registrations. We plan the switch, load the data, and run one month in parallel before anyone sees a Zoho payslip. The general approach is the same as our other Zoho migrations; this page covers what is specific to payroll.

What has to move

More than names and salaries

These are the data sets we bring across. Leaving any of them out shows up as a wrong number in the first few pay runs.

Employee master

Employee ID, joining date, department, work location, bank details, PAN, UAN and ESI numbers. Work location matters more than people expect, because professional tax depends on it.

Salary structures

Each employee's components rebuilt as Zoho Payroll templates. Hidden logic in spreadsheet formulas — a rounding rule, a cap, an allowance that only some staff get — is written down and rebuilt deliberately.

Year-to-date figures

On a mid-year switch: earnings, TDS deducted, PF and ESI contributions and professional tax paid so far this year. Without them, tax for the rest of the year is projected as if the year had just started.

Declarations and regime choices

Each employee's tax regime and investment declarations, so TDS continues on the same basis instead of resetting in the month of the switch.

Open loans and advances

Outstanding balances and remaining instalments, so recovery carries on from where it stopped. Loans need the Standard plan or above.

Pending arrears and holds

Revisions agreed but not yet paid, salaries on hold, and full-and-final settlements in progress — the items most often forgotten because they live in someone's inbox.

When to switch

Start of year, start of quarter, or mid-quarter

Any month works if the year-to-date figures are loaded. Some months make the reconciliation simpler.

Switch pointYear-to-date data neededWhy choose it
1 April (new financial year)None for tax; only open loans and pending itemsSimplest. No mid-year tax to carry across.
Start of a quarterYear-to-date figures to the end of the last quarterQuarterly TDS returns stay on one system each.
Any other monthFull year-to-date figures to the last closed monthFine when there is a reason not to wait; needs the most reconciliation.

Whatever the date, the switch month is run on both systems and compared before Zoho Payroll is used on its own.

How we migrate

Four steps, with a parallel run before go-live

  1. 1

    Extract and inventory

We collect the salary sheet, registers, last payslips and statutory returns, and list every rule hidden in formulas.

  2. 2

    Clean and map

IDs, PAN, UAN and bank details are validated, duplicates removed, and each pay item mapped to a Zoho Payroll component.

  3. 3

    Load and reconcile

Employees, structures and year-to-date figures are loaded, and totals checked against the last closed month.

  4. 4

    Parallel pay run

The switch month runs on both systems. Every difference is either fixed or explained before anything is paid from Zoho Payroll.

Where it goes wrong

Five payroll migration mistakes

  • Year-to-date TDS not loaded, so employees are over-deducted for the rest of the year and ask why their salary dropped.

  • Spreadsheet rounding rules dropped, so net pay differs by a few rupees for hundreds of people.

  • UAN or ESI numbers missing for some employees, discovered only when the first statutory filing fails.

  • Attendance moved to Zoho People in the same month as payroll, leaving no way to tell which system caused a difference.

  • The old payroll switched off before the parallel run was signed off.

FAQs

Payroll Migration to Zoho Payroll — common questions

Can we move to Zoho Payroll in the middle of the year?

Yes. Year-to-date earnings, TDS, PF, ESI and professional tax are loaded so tax for the remaining months is projected correctly. Switching at the start of a quarter keeps quarterly TDS returns on one system each, but any month works.

How long does a payroll migration take?

For up to 100 employees with one salary structure, usually two to three weeks including the parallel run. Several states, many structures or messy source data take longer. The parallel month is fixed: it takes one full pay cycle.

We run payroll in Tally. Can that move to Zoho Payroll?

Yes. Employee masters and salary heads are exported, mapped to Zoho Payroll components and reloaded. Tally keeps your past payroll for reference. If you are also moving accounts from Tally, Zoho Books takes the payroll journals afterwards.

Do we have to clean the data first?

No. Send it as it is; validating PAN, UAN, bank details and duplicates is part of the migration. Seeing the real data shows us the rules hidden in it.

What happens to past payslips?

Past payslips stay in your old system or as files. Zoho Payroll starts from the switch month with year-to-date totals, which is what tax and statutory calculations need. Older payslips can be stored against each employee in Zoho People if you want them in one place.
