With expanding operations and increasing inventory transactions, the company required a centralised business management solution to streamline accounting, inventory, customer communication, and financial reporting.
As the volume of inventory transactions and accounting entries grew, managing these through disconnected tools created operational gaps — inaccurate stock records, inconsistent financial data, and manual invoice communication. To address this, Q Buildware chose Zoho Books as its integrated accounting and inventory management platform.
How Q Buildware Centralised Accounting and Inventory Using Zoho Books
The project involved implementing and configuring Zoho Books to automate and centralise Q Buildware's accounting and inventory operations. Tech Geum worked closely with the client to understand their business processes and design a solution tailored to their operational requirements.
The existing process lacked a unified platform for managing inventory items, opening stock, sales invoices, vendor bills, and financial reporting. Customer communication for invoices was handled manually. There was no mechanism to track business performance by category or to link inventory movements with accounting entries in real time.
The implementation focused on improving financial management, inventory control, customer communication, and business reporting while reducing manual effort across all operational areas.

Tech Geum implemented Zoho Books as a centralised accounting and inventory management solution tailored to Q Buildware's business needs. The solution was designed to connect all operational areas — accounting, inventory, purchases, customer communication, and reporting — within a single platform.
The implementation covered:
Chart of Accounts Setup: A structured Chart of Accounts was created to ensure proper financial classification across income, expenses, assets, liabilities, and equity — giving the accounts team a consistent foundation for all transactions.
Inventory Item and Stock Management: All inventory items were configured in Zoho Books with accurate opening stock balances and valuation. The inventory module was set up to track stock movements across purchases, sales, and adjustments in real time.
Inventory Adjustment Workflows: Adjustment workflows were configured to handle stock corrections, write-offs, and reconciliation — with each adjustment properly linked to the correct accounting entry to maintain valuation accuracy.
Customer Invoicing and Payment Tracking: Customer invoicing workflows were configured with automated payment tracking, due date reminders, and a clear outstanding receivables view for the accounts team.
Vendor Bill and Purchase Management: Vendor bills and purchase transactions were set up to link directly with inventory receipts, ensuring that stock increases and cost entries remain consistent across both modules.
WhatsApp Integration for Invoice Sharing: Zoho Books was integrated with WhatsApp to enable direct invoice sharing with customers — reducing manual communication steps and improving the speed and professionalism of customer interactions.
Reporting Tags Configuration: Custom Reporting Tags were configured to categorise transactions by business unit or category — enabling performance analysis across different segments without requiring manual data exports or spreadsheet work.
Lookup Field Implementation: Lookup fields were implemented to improve data relationships between records, enabling better cross-reference visibility across inventory, sales, and accounting entries.

The Chart of Accounts was created with the correct structure for a building materials business — covering income from product sales, cost of goods, operating expenses, assets for inventory, and liability accounts for vendor payables. Account codes were assigned consistently to support financial reporting.
Inventory Configuration and Opening Stock
All inventory items were set up in Zoho Books with product details, units of measure, and pricing. Opening stock balances were entered with accurate quantities and values to establish a reliable starting point for ongoing inventory tracking. Stock valuation methods were confirmed and applied consistently.
Inventory Adjustment and Purchase Workflows
Inventory adjustment functionality was configured to handle stock corrections with proper accounting entries. Vendor bill workflows were set up to link purchase orders with inventory receipts and accounting postings — ensuring that every purchase reflected correctly in both stock and financial records.
Sales Invoicing and Customer Management
Customer records were set up and invoicing workflows configured. Payment tracking was established with outstanding receivables visible at the customer level. Invoice templates were customised for Q Buildware's communication requirements.
WhatsApp Integration and Reporting Tags
The WhatsApp integration for invoice sharing was configured and tested. Reporting Tags were created based on Q Buildware's business categories and applied to transaction templates so that all future entries are tagged consistently without additional manual effort.
Lookup Fields, Data Migration, and Go-Live
Lookup fields were configured to link related records across the system. Existing accounting and inventory data was imported and validated across multiple rounds of review. Full system testing was completed before go-live, covering all transaction types, inventory movements, and reporting outputs.
